We’re hiring a dealership executive assistant to support our automotive group’s sales department and key executives, such as the office manager. As an executive assistant, your primary responsibility is to improve efficiencies, problem-solve, and carry out all administrative duties. You will need to set schedules, carry out dealership plans, and ensure meetings happen on time. Put your organizational skills to work, keeping files and expense reports accurate. Dealership experience is not required, but our ideal candidate should have administrative support experience, excellent communication skills, and outstanding customer service skills. Dealership Executive Assistant responsibilities
  • Serve as the main point of contact for high-level executives within the auto dealership
  • Manage office duties such as organizing filing systems, facilitating expense reports, and ordering office supplies
  • Oversee executive schedules, including travel arrangements, itineraries, and team meetings
  • Compile and document incoming messages, phone calls, voicemails, follow up request, memos, and emails and report it to the office manager
  • Assist automotive group execs by assisting with meeting preparation and transcribing meeting minutes
  • Ensure basic bookkeeping duties are accurate and complete
  • Execute other administrative duties as assigned by executives, including picking up orders, arranging personal appointments, and more
Dealership Executive Assistant qualifications
  • High school diploma or GED equivalent is required
  • Two or more years of experience working as an administrative assistant, executive assistant, or in a position performing office manager duties
  • Possess a valid driver’s license and pass a background check
  • Comfortable meeting deadlines and handling confidential information
  • Proficient with Microsoft Office, including Word, Excel, and PowerPoint
  • Strong organizational skills, interpersonal skills, and verbal communication skills
