The Transaction Coordinator functions as a liaison between the real estate agents, clients, escrow companies and mortgage officer during the transaction. Transaction Coordinators effectively manage the administrative tasks involved in closing a sale. This is a cross trained roll on our team and Transaction Coordinators are both able to help out on the Listing Side of the business as well as the Buyer Side of the business. There is a “Listing Transaction Coordinator” assigned at all times, but all Transaction Coordinators can do all buyer side and listing side functions to manage the transaction from signed contracts to closed sale.

The Transaction Coordinator will be asked to do various tasks related to the transaction such as ensure all paperwork and contracts are signed and submitted as they are required to be according to state requirements. They are competent in the company systems such as contract management software (CRM), e-mail management, DocuSign, Instanet Forms, MLS input, lead generation systems, etc. They provide internal services for real estate agents by way of helping with paper work or data entry when called upon.

They are able to handle a high level of volume and manage multiple tasks at once and are cross functionally trained to be able to pick up additional tasks if one member of the administrative team is overloaded on a given workday. They are the hands and feet of the transaction and have a service based approach to the sale and help the agents become extremely efficient in all they have to do to make a real estate transaction come together for the clients.

  • Additional daily tactical responsibilities

Qualifications
  • The ability to quickly and accurately follow the process as defined by the Operations Lead
  • Strong written/verbal communication skills, good organizational abilities and calm under pressure
  • Excellent with contract management software and knowing our system and following it
  • Excellent and tenacious on the phone
  • Attention to detail and deadlines
  • Ability to multi-task and problem solve
  • Solid clerical or administrative background with above-average computer skills (Word/Excel/Outlook)
