We are looking for a licensed (REQUIRED), experienced, and optimistic team player who is outgoing and who draws energy from working with people. They must have an urgent and strong focus on accomplishment without conceding a commitment to quality. In addition, she/he regularly demonstrates the attitudes, skills, habits, and knowledge-base of a high achiever who puts clients first, who always does the right thing, and who seeks win-win agreements.

The Transaction Coordinator must be readily adaptable to change while remaining solutions-oriented. She/he will manage the entire contract-to-close process with efficiency and effectiveness-- ensuring that all transactions close on schedule with little or no hassle.

This person will act as the go-to Contact Person for all parties involved in the transaction: real estate agents, clients, attorneys, appraisers, escrow companies, and mortgage brokers during the process of the transaction and will effectively manage the many administrative tasks involved in closing the sale.

Responsibilities

  • Create timelines and follow-through with individuals to ensure all deadlines are met and contingencies are released.
  • Manage Showing Assistants.
  • Maintain accurate and compliant files for all transactions.-- including Dotloop and Docusign.
  • Understand contracts in order to be able to summarize all important terms, conditions, and contingency dates.
  • Draft any addenda needed along the way, keep a record on file, and share with relevant parties.
  • Communicate on a regular basis with our Agent regarding all important dates, missing documents, compliance status, etc.
  • Communicate on a regular basis with our Clients to assure them, to send them reminders, and to manage expectations.
  • Communicate on a regular basis with all third-parties involved (Agents, Attorneys, Appraisers, Inspectors, Escrow Companies, and Mortgage Brokers) to share information that ensures a smooth closing process.
  • Draft a commission statement for our Listings and verify commissions for our Buyer-side transactions to include utility and other pro-rations.
  • Assemble a Closing File for the Agent to include any documents requiring signatures/initials/dates, commission amount for the check to bring back, and any other documents needed related to closing.
  • Close out the File to include changing the MLS status to "CLOSED", double-checking the file, making an electronic copy of the HUD, processing the check, and closing the file in Dotloop or Docusign.
  • Follow-up with Clients to request a testimonial.

Qualifications

  • Excellent at building rapport.
  • People-oriented.
  • Strong verbal and written communication skills.
  • Learning-based.
  • Willing to learn scripts and dialogues.
  • Real Estate License with Experience.
