Top Chicago real estate team seeking a driven transaction coordinator to manage contracts throughout the entire home selling and buying process. You’d be responsible for overseeing transactions from start to finish to ensure a smooth and successful sale. Our ideal candidate is extremely organized and has superb customer service skills to make customers feel at ease. We are looking for someone with experience coordinating all aspects of the real estate transaction including writing contracts, coordinating appointments, following standard operating procedures for listing and sales, and ensuring every detail of the clients’ transaction goes smoothly. 

The ideal candidate is a highly organized and motivated self-starter with excellent communication skills, grammar, and attention to detail. Real estate is an extremely fast-paced and competitive industry, so you must be willing to work hard and be available when most people are off of work. Responding quickly and efficiently to requests is crucial. Flexibility is a must, as is time management, and the ability to multitask. You must be willing to learn new technologies and work well in a team setting. Showing requests and questions from clients come in at all times of the day and night and need to be responded to as soon as reasonably possible. This isn’t a job where you clock in at 8am and out at 5pm, we work when our clients need us, and sometimes that’s just an hour on a Saturday afternoon to write up an offer.

The role will be 20-30 hours a week with the opportunity to grow and will be a hybrid of virtual and in-person at our office in Bucktown. Compensation is hourly + bonus. If you love working with people and thrive in a fast-paced work environment, apply today!

Responsibilities

  • Creating a transaction sheet when new deals come in
  • Adding clients and deals to Business Tracker 
  • Work directly with the Administrator to ensure that all deal information is updated on the platform and paperwork is accurate
  • Sending all parties to the transaction the files and contact information they need as soon as their offer is accepted
  • Communicating with all parties involved in the transaction
  • Ensuring all contract deadlines are met
  • Using our Business Tracker checklists to ensure clients are informed at every step of the process
  • Working with Administrator to turn in organized files to our corporate system
  • Writing contracts such as offers and listing agreements per agent’s directions
  • Using DocuSign to send out contracts, addendums, and authorizations
  • Managing and coordinating showing requests
  • Give each seller a calendar of showings
  • Following up with agents who have shown listings
  • Coordinating move-in/ move-out process with clients and the cooperating agent
  • Working with clients and cooperating agents to schedule home inspections
  • Corporate Rental Scheduling- registering agents & clients correctly in the online corporate system and scheduling the appointments

Qualifications
  • Must have a valid Real Estate License
  • Experience in the real estate industry, transaction management or coordination, titles, and/or mortgages preferred
  • Applicants must possess exceptional organizational and verbal and written skills
  • Motivated to serve people and provide excellent customer service
  • High school diploma or GED required, preferably some college experience

  • Attention to detail
  • Advanced organizational and multitasking skills
  • 2-3 years minimum experience in the real estate industry
  • Availability on the evenings and weekends- flexibility to work a range of hours
  • Positive attitude
  • Extra bonus if you are fluent or proficient in another language as we serve multilingual and international clients (this is not required)

Compensation
$25 - $40 hourly

We are a small, woman-run team that specializes in unique properties and serves a diverse clientele. We do about 65 sales transactions a year and 100+ rentals. We offer our clients a hands-on approach to real estate transactions. We primarily focus on the Logan Square, Bucktown, and Humboldt Park areas of Chicago, but we work with special clients and properties all over Chicagoland. We also have a large rental listing presence in the city and the suburbs.
