We are searching for a transaction coordinator to assist our real estate team. You’ll manage all front desk administrative aspects and assist with transaction management from contract to close, including providing assistance with escrow-related documentation, scheduling inspections and repairs, and acquiring seller approval for offers and counteroffers. The ideal candidate will have excellent communication skills and love working with people. If you are great with details and multi-tasking, we want to hear from you!

Responsibilities

Assist with Transaction Management as needed, including the following:

  • Aid real estate agents, clientele, and other stakeholders with paperwork and ensure the completion of all escrow documents, such as appraisals, titles, and mortgage loans
  • Schedule home inspections and any necessary repairs, and assist in negotiations regarding repairs
  • Arrange for and attend events regarding the closing process, including moving schedules
  • Manage transaction contracts from both home buyers and sellers to close the deal in a timely manner
  • Obtain the seller’s approval for the buyer’s offers and counteroffers to ensure the transaction process goes as quickly as possible
  • Review paperwork to ensure each document has all the correct signatures and dates
  • Input client information into the client database system, track transaction activities, and submit each necessary document to the office broker for file compliance
  • Supervise all administrative duties for agents during real estate transactions from contract to close
  • Maintain up to date knowledge of required real estate forms for contracts for DC, MD, and VA
  • Answering multi-line switchboard
  • Distributing mail/packages/faxes
  • Notifying clients of incoming faxes/packages, etc.
  • Data entry
  • Scanning checks for deposit into a bank account
  • Review paperwork to ensure contract/listing are complete
  • Follow-up when additional paperwork is needed
  • Notify the appropriate party of any missing documents in the contract via email
  • Obtain missing signatures on documents, when applicable
  • Run credit reports as requested.
  • Oversee and manage assigned corporate projects, as needed
  • Attend all company-wide functions and assist as needed(times may be outside typical working hours)
  • Social Media postings
  • Virginia licensing for agents

Qualifications
  • Experience in the real estate industry, transaction management or coordination, titles, and/or mortgages preferred
  • Candidates should be organized and able to communicate written and verbal information to clients accurately and clearly
  • Motivated to serve people and provide excellent customer service

  • 2 years of front desk management and data entry experience
  • Excellent organizational skills and attention to detail are a MUST
  • Excellent customer service and interpersonal skills; can empathize and build relationships with a variety of personalities, and ability to communicate effectively with staff at all levels
  • Experience utilizing Internet applications
  • Ability to provide good judgment in order to proactively and independently solve problems and make decisions with minimum supervision
  • Ability to manage multiple tasks and work under pressure to meet deadlines
  • Ability to work with confidential information

Compensation
$17 Hourly
