Real Estate Office Help Wanted!

Could you be the great assistant I'm seeking to work full-time and help me handle many of the pesky administrative details of running my own growing Real Estate business?

I'm a busy Real Estate Team Leader buried with far too much to do who needs a very organized, detail-oriented assistant 40 hours weekly in my Smithfield office.

I own a rapidly growing Real Estate Sales business located in Smithfield, where I have been for 15 years now.

It's 9:46 pm on a Tuesday night and I'm still at my office working!

I'm stuck working late again tonight because I've just got too many things to do - all the paperwork, new listings to be processed, prospects to be added to my database, closings to be scheduled, incoming offers to be directed, a contact management system that must be kept up to the minute correct and other administrative details that go along with running a real estate business... and it's all killing me.

Can you help make my headaches vanish by handling some of these details?

Are you somebody who's superb at handling details? Do you enjoy working with customers over the phone? Do you have Real Estate Experience? A loyal, hardworking behind the scenes type person who always follows through and almost never misses a deadline... So productive that your last employer considered hiring two people to replace you after you left... A strong typist with good computer skills... A solid command of the real estate sales/closing process ... Comfortable in a small business environment where priorities can change quickly... A super-organized, get-it-done type person who's also very good at talking with people on the phone?

If so, we should talk because you just might be the great assistant I'm looking for for 40 hours a week (9:00 am till 5:00 pm, Monday through Fridays). The pay is negotiable and our office dress code is business casual. I don't mind if you haven't worked in a while. You also don't need a resume to apply.

Compensation is dependent upon experience.

  • Manage all paperwork for clients, MLS, showing time, extensions, and and office support
  • Manage the listing from active to close process
  • Communicate with clients and agents daily 
  • Work with agents, vendors, closing attorneys and municipalities to coordinate closings
  • Oversee all listing files and listing marketing
  • Assist in getting positive reviews
  • Compile and distribute weekly/monthly reports to clients (buyers and sellers)
  • Continue to take day to day office tasks away from agent, organizing workflow and reducing inefficiencies
  • Minimum of 1 year Real Estate experience, Licensed realtor is a plus or willingness to get licensed 
  • Must be technologically savvy and able to learn new programs quickly and able to troubleshoot common issues; proficiency in Word, Excel, Power Point, Outlook and Internet skills
  • Have excellent attention to detail and high-level accuracy with documents
  • Learning based and solution oriented
  • Deadline driven and extremely organized
  • Open to new ideas and systems
  • Able to make quick and effective decisions, solve problems, as well as maintain confidentiality 
  • Flexible in daily routine; ability to prioritize and manage shifting responsibilities
Compensation starts at $15/hr and is dependent upon experience
