The Project Manager Support Coordinator is an entry-level position designed to support the inner workings of our Production Department. This position works closely with the various departments to assist in completing tasks critical to the success of running the production. This position requires the ability to do some creative problem-solving in addition to routine tasks. A successful candidate would continue in this role and be provided training to increase their knowledge of both the company and the industry.

Responsibilities

  • Answering phones and handling customer experience, including scheduling.
  • Managing multiple email addresses to ensure prompt responses to all requests.
  • Reviewing emails and determining when and where to forward requests.
  • Digital and physical filing of receipts, reports, invoices, and photos as directed.
  • Tracking and compliance for insurance TPA (Third Party Administrator).
  • Input estimates and sketches to Xactimate/XactAnalysis.
  • Assisting with DocuSign– generating forms, following up for completion, and filing as directed.
  • Effectively communicating with team members of issues or situations that arise and escalating to the appropriate party as required.
  • Problem-solving for various non-complex tasks, including researching products online, researching parts or materials, and light financial review of accounts.
  • Attendance in department planning meetings and note taking.
  • Occasional job-site visits as needed.
  • Update and follow up with customers and adjusters daily.
  • Upload documents to the internal project database.
  • Special projects as directed by the department supervisor.

Qualifications

  • MUST have previous office experience.
  • MUST have excellent computer experience – MS Word, Outlook, etc.
  • MUST have extraordinary organizational and communication skills.
  • MUST have a valid driver’s license and clean driving record.
  • Excel and PowerPoint experience ++.

Compensation
$38,000 - $40,000 yearly
