Homeward Bound’s Supportive Services for Veteran Families (SSVF) Program provides short-term financial assistance for housing and case management support to individuals and families experiencing homelessness in Buncombe County. The program’s temporary financial assistance assists with move-in costs and can also provide short-term rental and/or utility assistance. The program offers resources and services that are tailored to the unique needs of the household. This position requires a significant degree of autonomy, as well as the ability to work with a team. The Admin Support position will assist with quality assurance and control procedures such as auditing files, organizing proof of payment for client files, and collecting other various receipts. The Admin Support position will also support program evaluation efforts by maintaining the veteran homeless by-name list and coordinate with other providers to collect and maintain this data. The Admin Support position will also help with other data management in our HMIS database system as well. The Admin Staff supports the office with supply runs, post office runs, and other duties as assigned. Lastly, the Support Staff may be responsible for a small caseload of veteran clients that have worked to achieve housing stability and need light-touch case management assistance. Lastly, the Admin Support will assist case managers with their cases, being available for home visits, move-ins, transports, and all other duties as requested by SSVF staff as needed. 

Schedule and compensation: This is a 30-hour/week, non-exempt position with hourly compensation.

Responsibilities

  • Coordinate with the Finance Department to receive all proof of payment including rent checks and all credit card receipts
  • Data entry in our HMIS database for all enrollments, discharges, and relevant client updates
  • Manage outcome reports and other program reports in HMIS for monthly reporting and also conduct the monthly HMIS Repository to be submitted to the VA
  • Manage the community veteran homeless by-name list and coordinate with other providers to ensure a high data quality
  • Regularly audit client files for quality assurance purposes
  • Oversee other quality assurance and control-related tasks
  • Assist in the development of positive working relationships with other agencies serving those at risk of homelessness.
  • Gain an understanding and develop the competency of the unique needs of veteran clients
  • Familiarize oneself with the goals and plans of new clients, while assessing any barriers the client may still be working on
  • Work with the SSVF team to assist in move-ins, outreach, and obtaining permanent housing
  • Prepare paperwork in accordance with program guidelines
  • Schedule regular supply runs and completes all errands related to program needs
  • Keep documentation organized and up to date, put files together
  • Attend weekly case management meetings and other specified meetings/training as required
  • Maintain accurate client documentation pertinent to potential residents and/or supportive services
  • Exercise patience, understanding, and concern for each client’s health, safety, development, and enjoyment of life
  • Accurately complete job assignments, agency forms, and written documents within assigned deadlines
  • Effectively use HUD tools and ensure compliance with data standards and record-keeping as required by HUD and Homeward Bound
  • Document all client interactions and maintain accurate paperwork/reports
  • Communicate effectively in oral and written forms with clients, their families, their significant others, coworkers, supervisors, other service agencies, and the community
  • Operate proficiently a personal computer, fax machine, printer, and copier

Qualifications

  • Bachelors in a related field or equivalent experience
  • Experience in homeless services or related field
  • Proficient knowledge in Microsoft Suite, specifically Excel, database administration

$19.24 hourly
