This candidate should have relevant experience to the role that highlights their capability to conduct all senior administrative assistant work; ensuring the Leadership Team and Staff operations run smoothly.   • Improve skill sets through employee development programs
  • Plan community events to market the company and increase brand awareness
  • Facilitate communication between our customers and team to ensure customer satisfaction

  • Check-in daily with leadership to ensure that required needs are met (i.e., schedules, recordings, meetings, meeting links, etc.)
  • Maintain Executive Teams’ calendars; book travel (flights, hotels, etc.); book meetings or speaking engagements as requested
  • Handle Office flow, phone, email and postal mail inquiries and respond appropriately
  • Balance conflicting priorities in order to manage workflow, ensure the completion of essential projects, and meet critical deadlines
  • Ensure leadership team is prepared for upcoming appointments by gathering materials necessary for each meeting
  • Handle all logistics related with leadership and office, internally and externally
  • Maintain comprehensive and accurate records
  • Performing minor accounting duties
  • Organize meetings, including scheduling and sending reminders
  • Correspond with project task holders regarding all active projects, online/offline events and clients
  • Correspond with project clients (including Zoom sessions) to book any contracted meetings with leadership and any vendor associated with the completion of their project
  • Handle support emails (corresponding with clients regarding their accounts, questions, or processing certain payments*)
  • Attend all team meetings and scribe/notate discussion
  • Act as the knowledge base for all required systems
  • Schedule session reminder emails and other communications as needed (i.e. reminders to complete progress report) for clients
  • Work with ConstructReach staff to collect and assemble information for presentations, projects and strategic planning
  • Serve as the first point of contact for a wide variety of high-level relationships between executive team and external contacts
  • Facilitate, build and monitor relationships including tracking contacts in database and managing follow-up
  • Coordinate and manage special projects, including working collaboratively with staff to ensure projects meet deadlines

  • Enjoys talking with customers and can communicate through verbal and written channels
  • History of being deadline-driven and extremely organized
  • Navigates computer programs with ease to provide a quick front-desk experience for customers

  • Minimum 5 years of direct Sr. Administrative Assistant or Executive Assistant experience required
  • Bachelor's degree or equivalent experience preferably
