The responsibility of this position is managing specialized work efficiently, with confidence and competence. The position requires above-average attention to detail, concern for the exact correctness of work, and a strong commitment to tasks completed on time. The person in this position will take work seriously, has a strong sense of duty, and is disciplined. A somewhat faster-than-average pace will be the norm for this position. Detailed, specialized work is the major focus. The position will provide security in a stable work environment, allowing the person to plan for, focus on, and complete tasks on hand. When changes in the nature of the work occur, the person in this position will need direction, training, and support. The position will generally be task-oriented, requiring someone with a conservative, careful, and cautious approach to work.

Responsibilities

Major responsibilities include, but are not limited to:

Administration:

  • Manage the firm's administrative and client service support staff
  • Represent the firm with clients, prospects, custodians, vendors, and regulators
  • Manage the daily operations ensuring compliance with industry regulations, and policies and procedures
  • Ensure client service expectations are met and exceeded
  • Use provided technology to work with Advisor to automate certain internal workflows where applicable
  • Provide executive assistance to CEO and CIO

Client Service:

  • Undertake Client Account Review Processes/ Prospect-to-New-Client Onboarding Processes
  • Have all parties sign the Client Agreement, Client Financial Profile/ Suitability, if applicable
  • Deliver ADV 2A, 2B, CRS (each time as required), Privacy Policy to Client
  • Establish new accounts in the system. Complete new account application-to-submission processes. Conduct Quality Control check for accurate completion of paperwork for submission for New Clients and Existing Clients or Complete accurate paperwork for New Existing Clients as instructed by FA
  • Timely submission of paperwork to Custodian
  • Monitor account opening to fund transfer completion
  • Monitor Custodian websites for alerts/NIGOs and resolve
  • Monitor movement of funds, and transfer of assets to completion; Update Client when completed
  • Serve as liaison between Custodian and Advisor, creating one central point of contact to handle all alerts, quality control, and assigned tasks
  • Facilitate various client requests to completion and/or resolve alerts and issues
  • Conduct Quality Control check for accurate completion of paperwork for Withdrawal Distributions Requests, Account Info Update, Estate Distribution
  • Timely submission of Withdrawal Distribution Requests, Account Info Update, and Estate Distribution paperwork to TAMP/Custodian

Compliance:

  • Ensure completion and adherence to periodic compliance checklist (1) ADV Delivery (Parts 2A, 2B, CRS, Privacy Policy) 2) Client Agreements Financial Profile, Account Paperwork Client Files 3) Complaint Log 4) Client Correspondence 5) Check Log 6) Billing Records, Billing Increase Notice, Fees Deducted 7) Clients Per State 8) Gift Ledger 9) Vendor List 10) Access, Supervised Persons/IAR/Employee Docs 11) Personal Securities 12) OBA)
  • Utilizing Advisor’s billing structure, deliver preliminary billing report to Advisor for review and accuracy prior to fees being pulled. Provide Advisor with final quarterly billing statement generated from Custodians

Learning Growth:

  • Provide new onboarding client service staff and Advisors/Sub-Advisors with familiarization training on operational manuals and business processes
  • Trading (if Series 7, 63, or 65 licensed)
  • Trade on new accounts and set them to the investment model Advisor has chosen. Trade models of Advisor’s choice. Execute trades as directed by Financial Advisor
  • Liquidate assets proportionately according to the investment model to free up cash for redemptions, fees, or systematic withdrawal requests
  • Provide ongoing investment monitoring, due diligence/evaluation, and portfolio rebalancing at agreed-upon timeframes, using Advisor’s criteria to ensure accounts are invested according to an investment model
  • Measure model performance, provide index and investment performance and other customized client deliverable reports as requested by Advisor

Qualifications

Key Qualifications:

  • Bachelor’s Degree and a minimum of three years of experience in financial services relevant to the role
  • Broad industry knowledge as well as knowledge of regulatory and supervisory requirements and corporate policies and procedures
  • Financial and investment product knowledge (i.e., IRAs, 401k, Annuities, Life Insurance, Tax Planning, Retirement Plans, Mutual Funds, etc.)
  • Strong customer service and communication skills
  • Strong management skills, including the ability to effectively plan, monitor, influence, negotiate, supervise and delegate
  • Computer, Microsoft Office Suite proficiency, and familiarity with CRM software Wealthscape, Orion, and Riskalyze a plus

Compensation
$55,000 - $65,000 yearly
