We are hiring a customer service representative to manage customer queries. You will also be asked to process account-related applications, modifications, and escalate complaints across a number of communication channels. To do well in this role you need to be able to remain calm, engaging, and helpful when customers call in and have experience working with computers. A customer service representative supports customers by providing helpful information, answering questions, and responding to complaints. They’re the front line of support for clients and customers and they help ensure that customers are satisfied with products, services, and features.



  • Office Opening and Closing Procedures - Execute procedures and protocols for the office to be ready-for-service
  • General Office Admin Work - Assist CSM with office management and administration as instructed
  • Documentation and record-keeping
  • Scan all client files and paperwork for digital storage
  • Update client info (for existing clients) or fill in new client info (for prospects onboarding as new clients) in CRM as needed

Client Service

  • In-Person Client Service - greeting, pleasantries, F&B service, and ushering
  • Undertake client account review processes/prospect-to-new-client onboarding processes
  • Schedule life updates call (for existing clients) and prequalification call (for prospects) and succeeding meetings (for qualified prospects) for associate advisor/schedule and manage FA and AA appointments on Calendly
  • Send a reminder email or make a reminder call 24 hours before meeting
  • Accomplish all applicable paperwork for Quality Control (QC) by CSM: account application, transfer of assets/move money, add advisor/advisor authorization, IRA distribution
  • Send out all approved paperwork to obtain the client's signature
  • Facilitate various client requests to completion and/or resolve alerts and issues - Prepare all paperwork and assist CSM in facilitating client requests - withdrawal and distributions requests, account info update, estate distribution – as well as in resolving alerts and issues
  • Client/prospect correspondence - Answer or direct client inquiries and concerns in person, by email, or on the phone; escalate to CSM, AA, or FA as needed


  • Ensure completion and adherence to compliance checklist - Complete and accurate notes and entries on all client interactions in CRM, personal securities, OBA

Learning and Growth

  • Undergo quarterly training relevant to the role - Complete training courses on custodian sites, carrier sites, CRM, FinTech, Storage Solutions, advisor platforms


  • Exceptional client service abilities
  • Professional written and verbal communication skills
  • Strong computer skills with a proficiency in Microsoft Office Suite (particularly Excel, Outlook, and Word) for PC
  • High School diploma or GED
