We are seeking a skilled virtual assistant to support our behavioral health practice in serving clients with excellence and with special attention to providing service that is affirming of marginalized identities, informed about social justice, and culturally competent. Our ideal candidate will have some experience in administrative or executive support, enjoy completing a variety of tasks, and have outstanding communication skills. Responsibilities
  • Post regularly on social media accounts and perform simple website updates, such as FAQs on Wordpress sites, blogs, or other platforms
  • Perform additional administrative tasks such as online research, light bookkeeping, and data entry as requested
  • Book and confirm accommodations, logistics, and travel arrangements as needed
  • Direct email management tasks including writing, proofreading, and sending emails - update contact lists as needed
  • Coordinate calendar management tasks such as scheduling meetings, rescheduling, and confirming meetings

Client and Public relations:

  • Return, screen, and answer phone calls in a professional manner
  • Manage ongoing log of contacts from prospective clients
  • Manage list of referral sources and help develop relationships with referral sources
  • Take care of email management duties and update contact lists when necessary- including writing, proofreading, and sending emails

Hiring and onboarding:

  • Help develop onboarding plan for new hires
  • Help develop new employee onboarding materials and training
  • Assist with recruitment and onboarding efforts for new hires

Media:

  • Assist with developing content and copy for practice (ex. social media, website, etc)

Administrative and Billing:

  • Assist with insurance verification and billing for clients and insurance payers
  • Help to codify and streamline operations of practice including written policies and procedures
  • Check-in as needed with the practice owner, and for regular touchpoints
  • Document tasks and projects in the Google Suite platform
  • Assist with online research, data entry, and other administrative tasks as needed

Miscellaneous administrative and creative tasks as needed

Qualifications
  • Proficiency with remote or cloud-based tools such as instant messaging, Skype, Zoom, and Google Suite and productive in a home office/ virtual office environment with a reliable internet connection is vital
  • Computer proficiency (intermediate), especially MS Office (Word, Excel, Powerpoint) is essential
  • Exemplary time-management, customer service, organization, and communication skills, both written and verbal, are imperative
  • Years of experience (1-2) as an administrative assistant, personal assistant, office assistant, or executive assistant is necessary
  • A high school diploma or equivalent is needed; some college is an asset

The ideal candidate has experience with customer service, is organized and detail-oriented, demonstrates initiative, and can work independently. The candidate enjoys supporting others in a high accountability atmosphere, is familiar with technology, and enjoys learning new skills and software. The candidate is personable and attentive with colleagues and clients, has excellent communication skills, and is reliable with follow-through.   • BA or Associate’s Degree preferred
  • Superb customer service, time management, organization, and communication skills (both written and verbal skills) are important
  • 1-2 years of experience as an office assistant, administrative assistant, personal assistant, or executive assistant is needed
  • Able to produce high-quality work consistently, with little or no supervision on a variety of projects
  • Proficiency with remote or cloud-based tools such as instant messaging, Zoom, and Google Suite, and productive in a home office/virtual office environment is vital
  • Advanced computer proficiency, especially MS Office (Word, Excel, Powerpoint) is desired
  • Conscientious, efficient, and reliable with assigned tasks
  • Flexible, collaborative, and responsive with clients and colleagues

Compensation
$22 hourly
