The Transaction Coordinator is a key role in helping our team service our clients with seamless, top-notch customer service from contract to close allowing our sales staff to focus on what they do best: Attention to detail, a systematic approach, creative problem solving, and exemplary customer service and communication skills are necessary to assist the team’s efforts in servicing our clients. The main priority of this position is taking care of the numerous details and checklist items that arise from the time a purchase agreement is accepted until successful closing.

Responsibilities
  • SPECIFIC READ and process all contracts
  • Maintain pending client files
  • Negotiation of all inspections
  • Servicing pending clients by building rapport with seller or buyer client to take over most communication and free up our agent
  • Responsible for effective communication with clients to ensure that fiduciary service is delivered from contract to close
  • Process completed contracts (Complete “Green sheet”)
  • Prepare addendum and coordinate signing
  • Provide a Seller Net Sheet
  • Keep sales team updated regarding their files
  • Communicate with Keller Williams front desk and market center administrator regarding our files
  • Assist with the selection of service providers
  • Coordinates Loan Application Process
  • Follow-up and coordinate financing contingencies, appraisal, required repairs and special stipulations needing completion from contract to closing Manage database entry
  • Utilize action plans and check-lists in our multiple systems
  • Update contact notes Internalize and utilize scripts
  • Ask for referrals throughout the contract to close process
  • Follow up on all details, outstanding items, and requests for all files
  • Coordinate the closing process and attend closing
  • Obtain preliminary CD (Closing Disclosure) paperwork and obtain agent approval prior to closing
  • Review CD for accuracy with seller or buyer client prior to closing
  • Maintain all vendor and service provider files
  • Participate in implementation and constant improvement of systems
  • Maintain contract to close portion of team operations manual
  • After sale client care
  • Obtain client testimonials after closing and add to our websites
  • Time Block and utilize team google calendar
  • Schedule daily training with team and agents
  • Working with agents and clients over the phone and email system

Qualifications

If you are organized in all area's of your life, HAVE a checklist for everything and love keeping people on task this position is for you. Lastly, you have to possess a Real Estate License.

  • Real Estate License (preferred but not a requirement)

Compensation
$35,000-$45,000
