Keller Williams located in the heart of Portland, OR is looking for a Transaction Coordinator. The Transaction Coordinator helps our team service our clients with seamless, top-notch customer service from contract to close allowing our sales staff to focus on what they do best: convert leads into clients and negotiate successful deals resulting in increased commission! Attention to detail, a systematic approach, creative problem solving, and exemplary customer service plus communication skills are necessary to assist the team’s efforts in servicing our clients. The main priority of this position is taking care of the numerous details and checklist items that arise from the time a purchase agreement is accepted until successful closing.

What will you do?

Primary objectives:

  • Manage all buyer and seller transactions from accepted offer to close
  • Manage post-closing systems
  • Keep lead agents informed regarding any problems or issues that need to be handled
  • Responsible for financial systems, including maintaining books, relocation services and paying bills
  • Implement projects from agents as needed
  • Coordinate the purchase, installation and maintenance of all office supplies and equipment
  • Manage all incoming/outgoing leads, prospects and referrals, track sources of business and keep team numbers on track
  • Negotiate inspections
  • Process completed contracts (complete “green sheet”)
  • Prepare addendum and coordinate signing
  • Manage calendars and appointments for multiple team members
  • Manage vendor relationships
  • Manager our real estate office and all logistics
  • System and information management
  • Oversight of contracts through closing
  • Customer/vendor relationships
  • Bookkeeping and financial management
  • Bringing what is wanted and needed to the team at all times
  • Supporting Team Members with admin, marketing and all logistics
  • Coordinates loan application process
  • Help manage lead generation
  • Obtain all info on call-in leads and provide info to agent for follow-up immediately
  • Follow-up and coordinate financing contingencies, appraisal, required repairs and special stipulations needing completion from contract to closing, manage database entry
  • Utilize action plans and checklists in our multiple systems
  • Obtain preliminary CD (Closing Disclosure) paperwork and obtain agent approval prior to closing
  • Review CD for accuracy with seller or buyer client prior to closing
  • Arrange and manage for closing gifts for clients
  • Asking for reviews and feedback after sale

$40,000 - $45,000 + Bonus Structure
