We are searching for a transaction coordinator to assist our real estate team. You’ll manage all administrative aspects of the transaction from contract to close, including providing assistance with escrow-related documentation, scheduling inspections and repairs, and acquiring seller approval for offers and counteroffers. Responsibilities
  • Coordinate home inspections negotiate prices for necessary repairs, and make sure each repair is completed
  • Check each document to verify it has all the correct signatures and dates so the transaction process goes smoothly
  • Coordinate and attend all closing procedures, such as moving schedules
  • Manage transaction contracts from both home buyers and sellers to close the deal in a timely manner
  • Aid real estate agents, clientele, and other stakeholders with paperwork and ensure the completion of all escrow documents, such as appraisals, titles, and mortgage loans

  • Verify and sign off on all documents received for correct signatures and dates
  • Enter sales activity into the client database and track business reports to present progress toward company goals
  • Provide excellent customer service to our clients and agents
  • Work closely and effectively with clients, agents, vendors, title and mortgage companies
  • Keep all parties informed of timelines and events needing to take place
  • Schedule contractors to complete work as needed, inspections, and all other appointments related to a transaction
  • Work through any issues that arise as a team, with a positive attitude
  • Create a schedule for estimates and work to be completed
  • Be able to project manage a renovation
  • Schedule professional photography, staging and measurements, and any other services needed for a listing
  • Prepare listings on the MLS, including entering all data as well as uploading photos and documents 
  • Schedule open houses at homes we currently have listed and make sure we have agents assigned to each one
  • Schedule the delivery of signs and lockboxes to new listing locations
  • Use your multitasking skills, you will work on multiple projects at once and will need to constantly prioritize tasks
  • You will need to keep everyone calm in potentially stressful situations

Qualifications
  • Candidates should be organized and able to communicate written and verbal information to clients accurately and clearly
  • Already a licensed realtor or is pursuing real estate license
  • Motivated to serve people and provide excellent customer service
  • High school diploma required; Associate’s degree preferred
  • Previous experience in transaction management, transaction coordination, real estate, titles, or mortgages highly valued

  • Licensed in real estate in the state of Tennessee
  • Strong understanding of Microsoft Office & Google Workspace
  • Capable of communicating effectively both verbally and in writing
  • Demonstrates highly efficient organizational skills
  • Is direct, yet helpful in dealing with customer's concerns
  • Self-motivated and able to perform tasks independently 
  • Punctual and consistently on time 
  • Warm, engaging, inviting personality 
  • Able to work well within a team environment
  • Able to adapt to changes as the company grows
  • Has a strong rapport with those he/she interacts with
  • Is an active and focused listener
  • Previous Realtracs/MLS experience is a plus
  • Previous CRM experience is a plus
  • Previous Dotloop/Docusign experience is a plus
  • You must be able to articulate yourself well via text, email, and on the phone

Compensation
$35,000 - $40,000 yearly
