We’re looking for a driven Transaction Coordinator to manage contracts throughout the entire home buying and selling process. You will be responsible for overseeing transactions from start to finish, assuring all parties are informed of tasks and on target for the closing date.   • Oversee all administrative tasks regarding home buyer and seller transactions from executed purchase agreement to close
  • Help agents, customers, and other parties with all escrow paperwork, including appraisals, titles, and mortgage loans
  • Check each document to verify it has all the correct signatures and dates so the transaction process goes smoothly
  • Obtain seller’s approval for the buyer’s offers and counteroffers to ensure the transaction process goes as quickly as possible
  • Enter client information into the client database system and submit appropriate documentation to the office broker for file compliance and keep track of transaction activity

  • Prepare and email contracts to sellers and buyers. Assure all offers are approved and signed.
  • Review paperwork to confirm accuracy. Validate terms, signatures, and dates.
  • Execute all administrative duties for transactions from contract to close.
  • Coordinate with all teams to assure escrow-related paperwork, appraisals, inspections, and titles are completed accurately on time and by deadlines.
  • Maintain accurate and compliant files for all transactions.
  • Understand contracts and escrow-related paperwork to verify accuracy.
  • Communicate regularly with the client to send them reminders, check-in, and let them know what to expect in each step of the closing process.
  • Draft any addenda needed along the way and keep a record of them on file and ensure they are shared with relevant parties.
  • Be the first point of contact/resource for all questions throughout the transaction from representatives, clients, attorneys, lenders, appraisers, other transaction coordinators, and Realtors.
  • Coordinate closing date, time, and location and notify all parties.
  • Provide general office support.

  • Motivated to serve people and provide excellent customer service
  • Experience in the real estate industry, transaction management or coordination, titles, and/or mortgages preferred
  • Applicants must possess exceptional organizational and verbal and written skills
  • High school or equivalent required, some college experience preferred
  • Real estate license preferred

  • Able to operate efficiently with a high level of professionalism at all times.
  • Excellent organizational and communication skills.
  • Motivated to serve people and provide excellent customer service.
  • Excel at follow-up, work with a strong sense of urgency, and consistently meet deadlines.
  • Detail-oriented, with a commitment to “closing the loop” in all tasks.
  • Critical thinking to resolve issues.
  • Ability to effectively and efficiently handle multiple tasks.
  • High school or equivalent required, some college experience preferred.
  • Background or knowledge of the real estate industry, transaction coordination, titles, and/or mortgages preferred.
  • Proficient in Microsoft Office.

Skills Preferred

  • Thorough understanding of all aspects of real estate transactions.
  • Prior work experience in a closing attorney’s office and/or real estate brokerage.
  • Notary Public.

$20 - $30 hourly
