We are seeking a dedicated, experienced administrative professional that has experience in transaction management of real estate escrows to fill a Flex-time / Part time position supporting our broker, starting at approximately 8-20 hours weekly, with growth potential. Real estate experience is a must and licensed agents are welcome. 

This position offers varied responsibilities and a nice office environment, or can work from home (at this time). Candidates for this position are friendly, energetic, self-motivated, and extremely detail-oriented, with excellent organizational and interpersonal skills. Must have proficient command of technology and be computer savvy. Must have excellent communication skills, the ability to multi-task, and exceptional phone manner. Microsoft Office (Word, Excel, Outlook) required. Proficiency at quick typing required. Manage contract to close process.

Transaction Coordinator Responsibilities (include, but are not necessarily limited to):

  • Work closely with real estate agents to ensure compliance with the time lines outlined in the real estate purchase agreement.
  • Thoroughly review the Purchase and Listing Agreements, Counter Offers, and Addenda’s to ensure that each document is fully executed with proper dates, initials, signatures and broker information. 
  • Follow up on missing documents to ensure file is complete.
  • Upload all documents, disclosures and reports into Paperless software as each one is received or fully executed throughout the transaction process.
  • Provide a consistent, quality-controlled system to ensure the smooth and efficient management of all relevant steps necessary to close a real estate sale. 
  • Monitor and assess the progress of the sale so that important deadlines are met and contingencies are released.
  • Assist escrow officer as needed in order to meet file-closing deadlines. May include overseeing delivery of documents to title companies via email, coordinating with agents to ensure their files are complete, communicating with clients for submittal of all required documents and funds, fulfilling lender requests for documentation, etc. and other duties as required.
  • Follow Purchase contract file checklist provided by Broker 
  • Follow Listing file checklist provided by Broker
  • Fill out and follow Critical Date List provided by Broker for each file


  • At least 2 years of real estate transaction coordination/management experience required
