Position Real Estate Administrative Assistant

We are looking for an individual who will own this job and has a strong understanding of the real estate transaction process. This person will build, implement, and manage multiple real estate systems with minimal supervision. The administrative assistant will have the ability to handle multiple facets and all at once. Individual will be experienced in client care, customer relationship database management, real estate transaction management and compliance. Candidate will demonstrate strong organizational and communication skills, both written and verbal, with clients and with the team. They will present strong computer skills in programs like Microsoft Office 365 programs, OneDrive, SharePoint, and is a bonus if they have working knowledge in MLS.   • Implement and manage real estate systems for client-care (sellers and buyers), customer relationship database management, information management, and back office support
  • Fill out and maintain all appropriate paperwork/documents during real estate transaction via DocuSign to file in the customer database to assist the real estate team in closing deals
  • Track important dates and time limits for transactions and notify relevant parties as needed
  • Create high-quality print and digital marketing material and update and maintain online and printed presence of listings via MLS, marketing on social media platforms, KWLS website, brochures, videos, and website updates
  • Respond to customer needs with urgency and attentiveness
  • Be the first point of contact for all customers and compile/distribute weekly reports to clients, both buyers and sellers
  • Communicate with team daily and assist in hiring, training, consulting, and accountability of all additional administrative team members as the team grows
  • Achieve our team objectives and regularly compile a progress report to present to the team
  • Real Estate bookkeeping and manage financial reports
  • Track, create and maintain an operations manual that documents all systems and standards
  • Assist the real estate team in facilitating local events to foster connection to people in the neighborhood
  • Plan travel arrangements, open houses, final walk-through(s), and other necessary engagements
  • Continue to build skills and knowledge in the real estate industry by attending educational events
  • License for Real Estate is preferred, not required
  • Prior experience in the real estate industry or as an office manager
  • Communicates well, both verbally and written
  • Possess strong computer skills in programs like Microsoft Office 365 programs (Word, Excel, Powerpoint), OneDrive, SharePoint, Customer Database Systems (CRM's) and working knowledge in MLS is a bonus
  • Understand how to utilize a database for processing client information to create necessary documents
  • Weekend and evening availability (only as needed)
$13 - $17 hourly
