We are seeking a support specialist to serve both our home buying and selling clients. There is a clear path to growth and the opportunities that could come from this role are limitless. The perfect candidate for this role may be a licensed agent that has realized they prefer the support side of real estate. Perhaps the perfect candidate has worked on the support side for another real estate team or company and is looking for more growth opportunity. This could include those currently or recently working as a Transaction Coordinator/Manager, a Closing Coordinator/Manager, an Executive Assistant or a Listing Manager/Coordinator.

This position requires a well-organized, service-minded individual with good interpersonal skills and attention to detail. This person will provide fiduciary service to all buyers and sellers from before a home comes on the market up until it closes escrow. This position also requires strong time-management skills, as well as staying task focused in order to complete multiple projects. Someone with project management experience that was heavy on customer service would excel in this role. This is a very tech savvy position, so strong technology aptitude is a must.


Transaction Coordination

  • Intakes new purchase contracts and creates internal files, then orders title searches from escrow partners
  • Updates internal trackers such as, G-suite, KPI spreadsheet, CRM, and inventory lists
  • Compiles, manages and audits all files and manages paperwork pipeline including contracts, binder deposits, amendments and inspection information
  • Communicates with acquisition and disposition managers as needed or requested
  • Communicates with the title company to provide needed information and communication with the parties to the contracts
  • Communicates with the parties to the contract regarding deadlines, expectations, needs documentation and closing details.
  • Schedules closings and supports administration of renovation projects
  • Monitors closing dates and ensures title information is received and complete to post close files
  • Files, prints, runs errands and procures office supplies

Sales Support

  • Responsible for managing current buyer leads with emphasis on building deeper relationships with past and current clients
  • Responsible for increasing our buyer contacts by researching past sales and marketing to buyers with the intent to begin and build long term selling relationships
  • Develops buyers by networking at community and industry related events
  • Manages property listings and connects properties to our verified buyer list
  • Promotes sales of properties through participation in multiple listing services
  • Completes comparative market research on available properties being marketed for sale
  • Schedules showing appointments with buyer and seller appointments to sell the properties
  • Coordinates access and showings of properties by other agents
  • Accompanies buyers during visits to the property, advises them on the suitability and value of the homes they are visiting
  • Communicates with and presents offers to Executive Management
  • Writes, edits and manages the contract process
  • Manages paperwork pipeline including contracts, work orders, invoices and receipts, binder deposits, and inspection information
  • Follows up with cards, gifts and check-ins to support buyer efforts, further build rapport, and add value
  • Utilizes systems and software to conduct daily business within the organization
  • Summarizes and collates requested information and presents with recommendations to Executive team
  • Maintains a spreadsheet to track all information about properties and closings

Multiple Listing Service Support

  • Completes MLS comp research
  • Compiles and coordinates listing agreements with sales manager
  • Prepares MLS listing paperwork
  • Prepares listing within MLS for sales manager approval
  • Activates sale listings within MLS
  • Creates and maintains listing paperwork and files
  • Responsible to collect all required documents for listing files

Property Management Support

  • Maintains rental information and files on all rental units
  • Keeps tenant info up to date, monitors lease details, and manages lease software
  • Manages utilities on rentals and properties
  • Collects rental payments
  • Coordinates notifications and late notice postings
  • Manages maintenance calls and issues on rental properties 
  • Must have a valid Real Estate License
  • Must possess excellent written and oral grammar and writing ability
  • Motivation to provide excellent customer service and experience
  • MLS experience helpful
  • Experience in Real Estate, Transaction Coordination, Titles or Mortgages
  • Independent and self-motivated
$15 - $20 hourly
