A Real Estate Paralegal’s primary goal is to support the legal team by providing customer service to clients, maintaining calendars and timelines for closings, organizing, and maintaining our filing system and closing files, and drafting correspondence and title documents.


  • Provides exceptional customer service and responsiveness to firm needs through phone calls, emails, letters, and other communications.
  • Maintains a well-organized timeline of all closings and events leading up to it that must occur in a synchronized manner.
  • Accurately updates the clients’ projects in Asana, SharePoint, and CLIO with any relevant matter events, deadlines, and reminders.
  • Processes and reviews title.
  • Prepare closing statements and closing disclosures.
  • Coordinate due diligence for a variety of commercial and residential real estate transactions, including, acquisitions and dispositions, borrowings, etc.
  • Preparing and filing a variety of documents, including, deeds, mortgages, UCC financing statements, etc.
  • Ensuring all parties get paid in a timely manner.
  • Preparing closing checklists and coordinates the closing process for various transactions commercial and residential real estate transactions.
  • Assist with finalizing policies of title insurance and other post-closing matters.
  • Assisting attorney in day-to-day Firm related matters.
  • Documents all correspondence in a detailed manner to prevent misunderstandings with all parties involved.
  • Prepares and sends correspondence as directed.
  • Ensures case files are created, updated, organized, and that physical and electronic files include all relevant materials and information.
  • Proofreading and confirming all parties’ data is accurate in documentation (I.e., names, addresses, telephone numbers, emails, account information, birthdays, etc.)
  • Enters time and expenses data.
  • Make copies/scans documents.
  • Timely prepares packages for signing and notarizing (in person and remotely).
  • Timely prepares the attorneys for closings by coordinating documents and people for the same.
  • Preparing and distributing closing binders post-closing.
  • Assist with reconciliations of real estate files. 
  • Any other tasks that may be necessary as determined by the firm from time to time.


  • A Paralegal must have a high school diploma, with a college or university degree preferred.
  • A Paralegal must have at least 2 years of experience preferably in a law firm or have worked at a title company.
  • Certified Paralegal Certificate.
