Who are we looking for?

The Operations Manager is key for growing The Rupesh Patel Home Selling Team's (RPHST) business. This Manager is the master of systems, consistently seeking new, innovative, and efficient business processes that save time and money. This person relishes the opportunity to build, implement, and manage multiple systems, and is seen throughout the organization as the expert on efficiency and systems. This person exhibits a drive to use systems as a strategic tool for creating an advantage for the organization. This individual will have some ability to show patience in finding a solution, though accomplishing the objective is more important for this person than using one specific process.

The Operations Manager is deeply committed to supporting the growth of the RPHST in achieving greater and greater levels of success, and to growing his/her own skills and developing into a supportive leader within the organization. As the success of the business grows, this individual will be responsible for hiring, training, and leading additional department members to ensure all administrative tasks of the company continue to be completed to high standards with maximum efficiency.

The Operation Manager is also one that gets energy from executing quickly and is an Integrator. The Integrator is a manager and influencer, the one that connects the dots to the vision that has been cast. The Visionary is concerned with what. The Integrator is focused on how. The Integrator moves a team to action. They structure the path forward.

A perfect candidate is one that has extensive knowledge of the residential real estate industry. This may be from working in an administrative department for a real estate team or brokerage, or perhaps a position within the mortgage or title insurance industry. Lastly, a candidate with a proven track record of bringing the best out in others' productivity is also an asset.

Responsibilities

  • Own, manage and improve all systems for transaction coordination, internal communication, client communication, financial management, information management, central database management, and marketing
  • Streamline training and onboarding processes for all inside and outside sales roles
  • Assists as needed in documenting the systems of other departments, including customer service, buyer, seller, lead generation, tracking, and expansion systems
  • Is responsible for all financial systems, including maintaining the books, paying the bills, handling payroll, assuring the collection of commissions, maintaining the budget, and generating financial reports
  • Maintains and improves RPHST Operations Manual and RPHST Video Training Library that documents all systems and standards
  • Coordinates the purchase, installation, and maintenance of all office equipment
  • Is responsible for hiring, training, consulting, and holding accountable all additional administrative and marketing department members
  • Manage projects - be able to take an idea and execute
  • System documentation, management, and implementation
  • Information management
  • Oversight of contracts through closing
  • Oversight of listings to pending
  • Customer/Vendor relations
  • Coordinating with RPHST Bookkeeper and CPA
  • Leading administrative and marketing department members
  • Recruiting administrative staff and salespeople

Qualifications
  • 2-3 years experience as an executive assistant or administrative assistant
  • Experience in the real estate industry preferred
  • Excellent communication skills and organizational skills
Compensation
$40,000 - $50,000
