Hollywood Estates is looking for a motivated Real Estate Operations Manager to assist the partners of Hollywood Estates. Your primary focus will be to manage and maintain the company’s CRM database, manage all active listings, schedule and travel coordination for the partners, spearhead operational projects, bookkeeping, assist with marketing functions, assist with special growth projects, and provide general administrative support to both founding partners.

  • CRM Management – Follow Up Boss: creating targeted audience drip campaigns, tagging contacts, uploading compiled lists, monitoring follow-up cadences, creating canned emails, updating contact information, running weekly and monthly reports, tracking contact engagement, assisting with integration projects to other native platforms. 
  • Bookkeeping – Manage digital migration and maintenance of all company bookkeeping for the partner’s brokerage and development expenses, run/provide monthly expense reports to partners, assist with audit/compliance checks annually
  • Coordinating Calendar/Travel – Manage daily calendar for the partners, assist with future scheduling and travel arrangements/bookings, etc. 
  • Performance Tracking – track and measure operational performance metrics to ensure optimization and efficacy across all functions within office administration. 
  • Project Management – spearhead special growth initiatives using project management software i.e. Asana etc. as needed.
  • General Administrative Support – field incoming calls, receive/distribute mail/packages, take messages and forward to partners, special tasks as needed, maintain office supplies and or marketing material stock. 
  • Strategic Planning – assist partners in developing and implementing growth initiatives as directed by the partners, mostly around operational scaling and financial strategy. 
  • Listing Coordination – Preparation for Open Houses, live on MLS, marketing collateral, social media assets, client requests, etc. 
  • Reception – receive inbound business inquiries to help support concierge-level service.

What You Bring/Who You Are

  • Ability to meet deadlines while producing quality work
  • Broad-based management exposure with proven experience as COO or relevant operations roll in a start-up and fast-paced working environment.
  • Experience managing CRM systems (Salesforce, Follow Up Boss, BoomTown, etc.)
  • Understanding of business functions such as HR, Finance, Operations, Marketing, Administration, etc
  • Ability to be entrepreneurial and develop initiatives that help the company succeed all while being on a bootstrap budget, ability to make things happen in creative ways
  • Demonstrable competency in strategic planning and business development
  • Working knowledge of data analysis and performance/operation metrics
  • Digital & computer fluency (Gmail & Google Suite, CRM systems, CAR Forms, etc)
  • Outstanding organizational and leadership abilities, excellent interpersonal and public speaking skills
  • Aptitude in decision-making and problem-solving
  • Strong project management skills to coordinate with diverse teams and meet project deadlines
  • Willingness to accept change and adapt on the fly without pushback
  • Detail and result-oriented and strong follow-through is essential
  • Excellent communication and customer service skills, has passion for serving customers, understanding their needs, and delivering in excess of their expectations
  • High-level strategic and analytical/problem-solving skills
  • Ability to synthesize information across a wide variety of disciplines

Education & Credentials

  • College Degree - Business Administration, Real Estate, Marketing, or relevant experience
  • *CA Real Estate License is a plus, but not required

Communication Skills

  • Outstanding command of the English language, fluent English speaking
  • Consistent grammatical skills and high attention to detail
  • Mandarin, Spanish, Farsi, Hebrew - all a major plus!
