At TLC Real estate our goal is to provide a smooth, efficient, and predictable sales experience to our clients. We are looking for an experienced Operations Coordinator to support our top-producing real estate team. This is a high-level support role where you will manage the majority of the operations. Must be highly resourceful, a self-starter and able to take an idea and make it a reality using business process knowledge and research. You will need to be proactive in preparing for today, tomorrow, and the future while planning twelve months in advance and communicating the status of projects in a systemized manner. Are you a "get stuff done" type of person and/or been told you have a large capacity to manage and complete projects and support a leader of an organization? You will be part of the thought leadership process for success in the team.

Responsibilities

  • This position will be the owner's go-to person for issue resolution, systems, and process development designed to increase client satisfaction, and team efficiency.
  • Oversee daily operations of the company and the work of the team (marketing, sales, HR, administration). Keeping things consistent.
  • Assist Team Lead with prioritizing, strategizing and keeping focused on key tasks and projects.
  • Establish policies that promote company culture and vision in mind
  • Lead the improvement and maintenance of processes, automation, technology, analytics, reports, and accountability to measure and improve the team's effectiveness and consistency through KPIs.
  • Provide day-to-day administrative and operational support to the Team Leader as a priority. 
  • Set comprehensive goals for performance and growth within the organization - Define KPIs.
  • Proactively identify, develop and drive longer-term strategies and initiatives that will deliver growth both in sales productivity and team skills.
  • Have in-depth knowledge of all team systems and marketing platforms to improve efficiency and eliminate waste - establish common systems used by all team members.
  • Facilitate the growth and profitability of the company YOY (Year over Year).
  • Assist with long-term strategic operational planning.
  • Manage relationships with established partners/vendors.
  • Act as the right hand to Team Lead.
  • Work with industry leaders to identify opportunities to leverage technology and automation to improve team effectiveness, client engagement, and ROI studies.
  • Lead employees to encourage maximum performance and dedication with accountability.
  • Work hand-in-hand with all sales agents and the operations team to eliminate process errors and improve efficiency.
  • Conduct, research and create reports and/or presentations as needed.
  • Prepare materials for internal and external meetings including planning, agenda preparation and note-taking.
  • Write and submit reports to the Team Lead in all matters of importance. 
  • Manage internal and external communications including email and phone correspondences.
  • Manage complex calendars, current projects, customer fire drills and various projects as needed.
  • Lead and provide support and follow up on various businesses and special projects as assigned by Team Lead which touches on a broad range of topics.
  • Assist Team Lead to maintain an organizational system to keep office space clean, tidy and organized.
  • Coordinate travel arrangements.
  • This position is not remote, we are an essential business with hours Monday through Friday 9-5 with occasional weekends and evenings.
  • All other duties as assigned.

Qualifications

Education/Qualifications

  • BS/BA in Business Administration or relevant field or equivalent experience 
  • Previous 5 + years of experience in growing a fast-paced organization - non-start-up 
  • Prior success in real estate operations is a plus but not required. 
  • Sufficient IT knowledge Apple/PC Skills to identify and manage change as needed.

Compensation
$45,000 to $70,000 DOE
