We’re in search of a detail-oriented Real Estate Office Manager to oversee our daily operations, supervise administrative staff, and ensure our business runs efficiently. You’ll be responsible for updating MLS listings, assisting with contracts, and scheduling team meetings. You’ll also be in charge of the office budget and ordering supplies.   • Maintain office equipment and re-order supplies when necessary
  • Plan for real estate team meetings and update calendar with appointments and travel days
  • Provide assistance to realtors when needed
  • Update MLS listings online and work with marketing to produce appropriate social media posts, photos, signage, brochures, and other materials
  • File paperwork and assist other real estate brokerage employees with contracts such as title exams, title sheets, executing commissions, and coordinating buyer and seller information when necessary


  • Plan and execute all client and vendor appreciation events.
  • Handwrite and mail or provide cards for client milestones (closings, birthdays, anniversaries, etc).
  • Make sure we always have enough vendors to advertise in our publications (Discover Publications).


  • Make sure the company has all of the necessary equipment for recording agent marketing videos and podcasts.
  • Lighting, green screen, teleprompter, camera, tripods, mics, etc. 
  • Schedule video recording sessions with agents and record them.
  • Send unedited videos to Digital Marketing Manager.
  • Record other video content as needed for Digital Marketing Manager to use.


  • Open the office, turn on lights and prepare the office for staff and client arrival.
  • Create and regularly print and assemble all buyer and listing consultation packages, CMAs, brochures, feature sheets, open house materials, etc. 
  • Scan documents as needed.
  • Help answer phones and route calls as needed.
  • Field inquiries from vendors, evaluate options and make recommendations to company leadership. 
  • Get mail and packages, open and process.
  • Deposit checks.
  • Purchase and sell office and company equipment.
  • Keep office stocked with all necessary supplies and ensure equipment is functioning properly.
  • Keep the office clean, tidy, and uncluttered including open areas, private offices, kitchen, fridge, cupboards, etc.
  • Furnish and decorate the office as needed. Work with team and outside stager or designer as needed. Do the heavy lifting (move furniture, put stuff on the walls, etc). 
  • Complete onboarding/outboarding tasks for new and departing team members.
  • Find new office space as needed while considering the location, size, price, infrastructure, and style. 


  • Process leads and set appointments from inbound calls and emails. 
  • Enter leads into Follow Up Boss. Complete all fields and information. Apply necessary action plans and complete tasks. 
  • Assign leads to agents and notify them promptly. 


  • Provide all levels of support to other team members - Owner, Listings Managers, Listing & Transaction Coordinator, Agents, etc.
  • Complete CMAs and complete listing template tasks as needed.
  • Show homes, attend inspections, final walkthroughs, and closings as needed.
  • Purchase, prepare, and deliver gifts on behalf of the team.
  • Work with the Operations Manager to complete tasks and projects that require a local person.
  • Assist the Owner with any other tasks as needed.


  • Assist team with agent recruiting. 
  • Make calls to prospective agents. Set appointments. 
  • Meet prospective agents. Provide office tours. 
  • Onboard, train, and mentor agents. 
  • Prepare weekly sales reports every Monday using Sisu and Follow Up Boss. 
  • Hold agents accountable with the necessary lead generation activities to meet individual and team goals. 
  • Ensure agent activities are limited to lead generation, showing homes, listing homes, and negotiating contracts. 
  • Assist with planning and leading weekly sales meetings as needed. 


  • Document and procedural all work.
  • Run fast while maintaining precision. Don't make mistakes–or don't make very many of them–and especially don't make the same mistakes repeatedly.
  • Stay on top of your assigned tasks in Follow Up Boss and Asana. Don't let tasks accumulate. No overdue tasks. 
  • Proactively and intuitively solve problems and take initiative to complete tasks and projects without being asked. 
  • Never stop working on improving our systems, processes, and business practices to increase efficiency, business experiences, and profitability. 
  • Be flexible.
  • Maintain a positive mindset and appropriate professional behavior while representing the company, either in the office or while meeting clients.
  • Adhere strictly to the standards and policies of the company when completing any tasks or work.
  • Set and meet deadlines.
  • Return all calls, and emails within 2 hours. 
  • Respond to texts within 15 minutes. 
  • Keep all personal information about clients, customers, staff, and/or employees strictly confidential.
  • Adhere to the dress code policy. 
  • Accept new assignments and responsibilities.

  • Displays strong communication, problem-solving, and time management skills
  • Familiarity with Microsoft Office or similar systems
  • 2+ years of experience in office management, real estate or, a related field strongly preferred
  • Real estate license preferred but not required
  • High school graduate, G.E.D. recipient, or equivalent required, bachelor’s degree preferred
$40,000 - $55,000 yearly
