We're looking for someone to streamline and maintain our day-to-day procedures, hire and develop our future administrative staff, and provide the support for our team to reach its collective goals. Responsibilities include personal interaction with staff, agents, clients, and other stakeholders, utilizing desktop, mobile, and web-based technology, marketing through traditional channels including major social media platforms, processing contracts to completion (called “Closing” in real estate terms), performing clerical functions such as banking, budgeting, copying, filing, faxing, mailing, scheduling meetings, and maintaining office inventory. Applicants should be natural leaders, highly organized, possess exceptional time management skills, enjoy a fast-paced work environment, and be able to prioritize projects to meet deadlines.

General Items:

  • Oversee all aspects of the administration of the real estate team’s business
  • Possess a strong desire to obtain new skills and knowledge, an excellent work ethic, dependability and dedication to team/company, a personal desire/value to produce quality work, assertiveness, professionalism, diplomacy (including maintaining confidentiality)
  • Possess excellent organizational skills, maintain organization, and function in a busy/chaotic environment while remaining adaptable and flexible
  • Regularly update and maintain effective communication with clients, agents, attorneys, lenders, and all other stakeholders while tracking and facilitating seller and buyer transactions throughout the client relationship
  • Analyze systems, offer suggestions for, and implement job process improvements.
  • Manage (and create/source when required) all systems for sellers, buyers, client database management, lead generation tracking, lead follow-up, and all office administration
  • Other business-related activities as needed
  • Manage recruiting, hiring, training, and ongoing leadership of all future administrative hires


Additional Items:

  • 2 years of office management experience or similar work experience is required
  • A real estate license is not required but is a plus
  • Knowledge of the real estate industry is a plus
  • Exemplary problem-solving, communication, and time management skills
  • Excellent telephone and interpersonal communication and etiquette skills, proper grammar usage, and correct spelling of words in English
  • Proficient in the use of telephone, cell phone, voicemail, faxing, scanning, copying, and other business machines
  • Bachelor’s degree or higher preferred; must have graduated high school

Proficient in the use of:

  • IBM and Android compatible hardware (desktop, laptop, laptop, tablet, and mobile smartphone) and software
  • Windows, CRM, Slack, Canva, Foxit/Adobe, Scoreboard, MLS, and additional software
  • Train on, implement and become a designated expert in any future administration-related software
  • Microsoft Office (Word, Publisher, PowerPoint, Excel, Paint)
  • G-Suite Products (Google Mail, Admin, Calendar, Docs, Sheets, Drive, and Forms)
  • Social Media – Proficient in general use of and marketing on Facebook, Instagram, LinkedIn, Pinterest, YouTube, and Twitter
  • Technology and the ability to move quickly around a computer
  • Keyboard and software shortcuts
