The Real Estate Operations Manager is a key Empire Protector for the growing expansion empire. Our ideal candidate is talented, analytical, organized, creative, and experienced ––the master of systems, consistently seeking new, innovative, and efficient business processes that save time and money. As a key leader in the Hub (anchored in our office), the Real Estate Operations Manager is someone who can take initiative and remain motivated to constantly develop and execute higher standards of operations and customer service experience. Their contribution to the team increases the ability of the Hub to process transactions, freeing the sales team to focus more on generating transactions than closing them. This person relishes the opportunity to build, implement, and manage multiple systems, and is seen throughout the organization as the expert on efficiency and systems. This person exhibits a drive to use systems as a strategic tool for creating an advantage for the organization. This individual will have some ability to show patience in finding a solution, though accomplishing the objective is more important for this person than using one specific process.

This candidate must be a fast learner and have a positive mindset. They need to have the drive, motivation, passion, and willingness to work hard and smart and be an excellent communicator, both verbally and in writing. The right candidate enjoys working in a fast-paced and ever-changing environment. Follow-up and problem-solving skills are key.

The Real Estate Operations Manager is deeply committed to supporting the growth of the team in achieving greater and greater levels of success, and to growing his/her own skills and developing into a supportive leader within the organization. As the success of the business grows, this individual will be responsible for hiring, training, and leading additional department members to ensure all administrative tasks of the business continue to be completed to high standards with maximum efficiency.

Responsibilities

What will you do?

  • Leads, Manages, and Holds Accountable.
  • Build, implement, and manages all systems for transaction coordination, internal communication, client communication, financial management, information management, central database management, and marketing.
  • Assists as needed in documenting the systems of other departments, including customer service, buyer, seller, lead generation, tracking, and expansion systems.
  • Is responsible for all financial systems, including maintaining the books, paying the bills, handling payroll, assuring the collection of commissions, maintaining the budget, and generating financial reports.
  • Oversees all contracts through closing.
  • Creates and maintains an operations manual that documents all systems and standards.
  • Coordinates the purchase, installation, and maintenance of all office equipment.
  • Is responsible for hiring, training, consulting, and holding accountable all additional administrative department members.
  • Process Management.
  • High-Level Implementation.
  • 95% of responsibilities are to be performed independently of supervision. This position is the key contact for all things operations.
  • Must work well under pressure and with critical deadlines.
  • Maintain confidentiality of the company and activities of the team.
  • Creation and Maintenance of operations manual with team systems and performance standards.
  • Designing, implementing, and overseeing systems.
  • Review and implement new systems to increase productivity.
  • Review profit and loss with Team Leader monthly.
  • Stay abreast of the changes and trends within the industry.
  • Manage online/offline marketing efforts and track ROI on all marketing expenses.
  • Manage daily accountability of the entire team including contests, agent activities, and office accounting.
  • Coordinate and follow up with marketing events.
  • Onboarding and Offboarding of all team members.
  • Create and Maintain all Operations Manuals for Team systems and performance standards - duplicatable and scalable.

Essential duties and responsibilities

  • System development, implementation, documentation, and management.
  • Information management.
  • Oversight of contracts through closing.
  • Tracking systems: productions, inventory, profit, sales, expenses, clients, event attendance, campaign analytics, etc.
  • Customer/Vendor relations.
  • Bookkeeping (A/R and A/P).
  • Leading administrative department members (as appropriate to organizational structure).

Qualifications

  • Bachelor’s degree preferred
  • Real estate license is preferred but not required. (unlicensed candidates must be willing to get their real estate license within 6 months of onboarding)
  • 1–3 years of service and management experience
  • 3–5 years of administrative + operations experience, preferably in real estate
  • Strong writing skills
  • Strong rapid & logical problem-solving skills

  • Can work on deadlines and handle private client information
  • College degree required
  • Must be fluent in real estate contracts
  • Knowledge of Google Suite (sheets, slides, docs, drive, etc.), Microsoft Office (PPT, Word, Teams), Adobe Acrobat, Zoom, Canva, Social Media (FB, IG, etc.) Eventbrite, Mailchimp, and client relationship, management
  • This is an in-office opportunity with 1 flex day to work from home

Compensation
$60,000 - $70,000 yearly
