We’re looking for a driven and dedicated real estate administrative assistant to join our growing team. Your job will be to complete and file the appropriate paperwork for transactions, oversee important deadlines and notify clients when necessary, adhere to legal and tax withholding requirements, and coordinate schedules for final walkthroughs and other appointments. You’ll also work with the team to manage the production of all marketing materials and facilitate local events to foster connections with people in the community. Responsibilities
  • Take part in employee development programs to strengthen existing skill sets in real estate administration
  • Enforce compliance with legal and tax withholding processes
  • Help organize community outreach events to improve our standing in the local area
  • Deliver concierge-level customer service to sellers, buyers, and lenders, to improve customer satisfaction ratings
  • Coordinate schedules to ensure optimal open houses and final walkthroughs, travel arrangements, and general appointments

  • The primary duties of this position will be maintaining our database, ensuring agents are following up accordingly, and that all leads are following the 'Laws of the Pipeline'. Other responsibilities could include: making outbound calls, texts, and emails to generate opportunities for our buyer and seller specialists, maintaining referral source websites, answering inbound calls, qualifying leads, and directing them to the agents who are scheduled to receive leads

  • The position is full-time in our office located in Sun Prairie, WI
  • Advancement opportunities include ISA Team Lead, and Outside Buyer/Seller Agent
  • Maintain and manage the team’s CRM lead database
  • Process leads correctly 
  • Learn, memorize, and deliver call scripts
  • Cultivate client relationships
  • Consistent prospecting, follow-up, and nurturing of buyer and seller leads
  • Be able to respond to various situations and responses from prospects with grace
  • Display a drive to achieve individual and company goals
  • Answer phones for the team, direct calls to correct agents
  • Perform other duties as assigned

Qualifications
  • Available evenings and weekends
  • Prior experience in the real estate industry or as an office manager
  • Either already has or is working towards real estate license
  • Communicates well, both verbally and written
  • Has knowledge of Microsoft Office and customer relationship management software

  • You have a high school diploma required
  • You have a real estate license or pursuing required
  • You are detail-oriented and thrive in a fast-paced and ever-changing work environment
  • You possess excellent communication and interpersonal skills
  • You have prior experience interacting with managing a database(s)
  • Exceptional organizational and follow-up skills
  • Ability to work independently with a high level of motivation to succeed
  • Valid U.S. driver’s license with the ability to travel by car
  • Must be local and able to be in the office Monday - Friday, 8 AM - 4 PM

Compensation
$17 hourly
