The position: 

We are looking for an exceptional Real Estate Office Administrator to join this top-notch team. The ideal candidate plays an active role in the transaction process, pays attention to the details, and knows how to prioritize their responsibilities without direction. Our client seeks someone who will put the needs of the agent first and handle all communication with a polished etiquette and finesse. Qualified candidates will thrive in a fast-paced environment while delivering excellent customer service.  

The nitty gritty: 

Location/commute: Miami Beach, FL. Candidate MUST live in the Miami area and MUST have their own car, a valid driver’s license, and carry insurance. 

Type of employment/hours: Full-time, M-F. 9:30-5:30 

Compensation: $35,000 - $45,000 

Benefits: Vacation, Sick, and Holiday Pay.

  • Implement and manage systems and procedures, creating an operations manual that standardizes and documents these systems
  • Coordinate and liaise between real estate agents, buyers, sellers, escrow, appraisers, inspectors, and mortgage brokers on real estate transactions
  • Handle the agent’s transactions from signed contract-to-close of escrow
  • Lead the listing coordination process, provide weekly listing reports, schedule and assist with showings, schedule and attend inspections, meet with vendors at the properties, provide client care
  • Handle of all database management and help scale operations as the business grows
  • Provide an executive level of administrative support; this may include but is not limited to phone and email management, calendar organization, task management, and keeping the Agent focused on key tasks
  • Assist with marketing campaigns and initiatives on behalf of the Agent such as updating the MLS, sending and coordinating email blasts, and managing all social media platforms
  • Serve as the key contact person for clients by providing a concierge-level of service 
  • Oversee and assist with marketing programs such as brochures, advertising, social media platforms, and lead management
  • Hold your team to a high level of accountability


Real Estate Office Administrators with prior real estate experience in a similar role are encouraged to apply. Applicants seeking a position as a stepping-stone into sales—this is not the job for you.

In the past, you might have… 

  • 3+ years of real estate administrative experience assisting a Real Estate team and/or Realtor
  • Extensive real estate contract writing and transaction management experience 
  • An Active FL Real Estate License is preferred but not required

  • CRM programs such as Top Producer
  • MLS Matrix
  • Dotloop
  • iMapp (preferred)
  • DocuSign
  • Social media platforms
