Real Estate Listing Coordinator (Logistics / Admin / Marketing)
We are looking for an organized, full-time listing coordinator to join our real estate sales team. Your responsibilities will include overseeing all aspects of our listing division. Your position will be the key cross-functional liaison between the operations team, the listing division, the agents, and our clients. You will be working closely with our listing agents to onboard our seller clients and make the transaction as smooth as possible for them.

This will include preparing listing information, setting up staging and photography, planning and maintaining our listing calendar, managing documents, and signatures, managing MLS listings, ensuring our agents follow and adhere to our listing checklist, planning broker and public open houses, keeping track of showing activity and using our various platforms and systems. The marketing component of the position will include social media postings, email campaigns, light copywriting, coordinating with our corporate office for special marketing projects.

The right candidate will be outgoing, organized, detail-oriented, goal-driven, and service-oriented. The position is for a 35 hours work week and offers competitive pay with growth opportunities! (Salary + Bonus)

  • Assist in all digital paperwork ( listing paperwork, DocuSign, zip forms, etc)
  • Set Listing Appointment with client
  • Do pre-appointment research 
  • Send out pre Listing Packet
  • Prepare CMA
  • Ensure proper execution of the entire “Listing Checklist”
  • Handle all the details of the listings from marketing to administrative (property descriptions, blog, photos)
  • Scan all listing docs into dropbox and Zip forms 
  • Complete the Active Listing Document Checklist
  • Create and maintain listings in MLS
  • Coordinate staging, photos and videos, manage edits, file photos/ videos
  • Communicate with the client regarding open houses and get scheduled in Zillow, Dash, and GSMLS
  • Be in contact with corporate communications/marketing team for special projects, postcards, brochures 
  • Call for feedback on property showings
  • Listing maintenance (status changes, showing reports, price adjustments)
  • Order sign and lockbox installation/removal
  • Manage listing tracker spreadsheet
  • Write up referrals and coordinate with the referral department


  • Prior to experience in the real estate industry, transaction coordination is preferred but not required. A real estate license is a plus, but not required
  • You are a self-starter with a team-oriented work style
  • You have demonstrated the ability to navigate ambiguity/deal with changing priorities 
  • Must have basic computer skills and be proficient in Microsoft Office and Google Business Suites
  • Must feel comfortable using spreadsheets, databases, social media platforms
  • While there is client interaction, you must be comfortable with working “behind the scenes.”
  • You must be organized, efficient and have a desire to constantly identify areas for process or system improvements
  • Must have excellent written and verbal communication skills and thrive on providing excellent customer service. Must be a team player and able to work with many different personalities
