Inbound/Outbound Call Handling

  • Take inbound lead phone calls and set quality appointments for agents by following the appointment set process
  • Make outbound prospecting calls when all other responsibilities & metrics are met

Agent CINC Assigned Leads Management

  • Audit to ensure follow-ups are timely and meeting team requirements
  • Crosscheck number of leads in CINC does not exceed in “My Leads Not Met”
  • Update/put back in ISA pipelines any leads that the agent is not following up with
  • Crosscheck that leads in the appt set through sold stages in CINC are actively being worked by agents and are in the right sales stages in Infusionsoft (IFS)
  • Assist in tracking agent productivity within CINC from lead to met and met to written

IFS Leads Management/Database Management

  • Manage and update sales stages/ownership of leads as needed to ensure that there are 0 issues in the FIX Issues Widget Daily. Coach agents as needed to ensure proper management of sales stages by agents
  • Scrub agents met pipeline to ensure timely follow-up per team requirements and metrics
  • Coach/train agents on what sales stages should be used depending on client’s timeline
  • Clean out every IFS sales stage periodically to find missed opportunities
  • Keep clients and SOI contact records updated

Client Care

  • Conduct client care calls to ensure a level of service is being met and for feedback on what our team could have done differently specifically when they’ve chosen not to work with us
  • Build the team relationship with clients whose past agent is no longer on the team by receiving reminders and reaching out on birthdays, anniversaries, and getting referrals
  • Call / Reach Out to VIP KC clients for special events & invites

Lead Flow Management

  • Ensure that the leads are flowing into the IFS and GDS correctly from all lead sources and that the numbers match
  • Merge & track duplicate lead profiles that are coming in from different lead sources
  • Ensure new leads are captured with the right data including contact information and lead sources. Update information as needed

Referral Manager

  • Retrace referrals and track
  • Call and email to thank the source and update on status when offers accepted

Agent Coaching

  • Train on scripts and role-playing with ISA and Agent team on how to handle inbound and outbound prospecting phone calls
  • For agents not meeting minimum conversion metrics:

- Check to ensure they are following up within 24 hours of a Met appt
- Monitor quality: Are they pushing listings and have follow-up notes? Quality of conversations?
- Provide necessary coaching and/or elevate issues to Sales Director and Sales Manager


  • 95% inbound calls are answered
  • 2 Met Appointments a Week
  • Ensure a clean database with better follow-up by ISAs & agents to increase conversion
  • Issues are caught and fixed/plan for fix within a week (Team follow up metrics are being met at 10 days on average for hots, and 30 days on average for warms)


  • Having a clear plan every day and helping us solve issues. SOD & EOD reports
  • Communicating about daily activities to help elevate what matters most to generate more raving fans
  • Over time, seeing an increase in follow-up, and a cleaner database
  • Some weekends and evening coverage required

$23.50/Hour + $50/met + $100/sold
