The Office Coordinator Manager role is central to the overall efficiency and profitability of the business. The OCM will develop operational processes and systems then optimize, automate and outsource them to grow and support our Real Estate team. You will provide support within our Real Estate team throughout the various aspects of a Real Estate Transaction. 

Duties include:

  • Interacting with clients, title companies, lenders, attorneys, selling and listing Agents on a daily basis.
  • Manage the paperwork that is needed to complete a transaction and ensuring that all dates and contingencies are met throughout the process.
  • Learning about our business, testing and implementing the most effective marketing strategies possible!

Must have the ability to multi-task and attend to small details is required along with either an active MN Real Estate Sales Agent license or 2 years experience in a Real Estate Related position. (ie title, mortgage, etc.) A presence in the office is required M-F, but some of the tasks may be completed from an alternate location as needed for a total of 40 hours per week. Must have strong written and verbal communication skills. 

You will report directly to the Vice President of Operations.

  • Develop and document systems and processes.
  • Optimize - automate and outsource processes for all aspects of a growing real estate brokerage and investment business.
  • Keep track of metrics and KPI's on Agent performance and report to Operations and Sales Managers.
  • Assemble Buyer packets as needed for acquisition and listings including working with VA's to coordinated related support information. 
  • Assemble closing packages as needed for acquisition and listing closings.
  • Lead follow up, schedule appointments for Agents.
  • Coordinate Closing with all participants via text, phone and email.
  • Ensure all documents are executed and properly inputted into Dot Loop and other CRM's as needed. 
  • Lead follow up, schedule appointments for Agents. 
  • Develop effective marketing campaigns via Facebook/Google as well as Mailing.
  • Develop effective sales processes. (follow up, nurture, educate, develop relationships).
  • Any other duties and responsibilities as determined and needed.
  • MANDATORY: Past experience in the Real Estate related industry required - either as a previous real estate office coordinator, title related position, mortgage related position, transaction coordinator, administrative, paralegal or similar.
  • Education level: HS diploma or higher.
  • Adept at basic technology.
  • Must have strong phone presence and exude confidence.
$15 - $18 per hour DOQ
