We’re hiring a driven Real Estate Executive Assistant to support the supervising Agent and carry out basic administrative tasks. You’ll serve as a liaison between the Agent and clients and be responsible for screening and conveying relevant messages and making appointments. You will also be responsible for the safe-keeping of customer information in the database, keeping the office supplies well-stocked, and working with other team members, attorneys and other service providers who will be assisting in the transaction. Candidates should be quick problem solvers, extremely organized, and have some experience in a relevant field. Responsibilities
  • Pay and input invoices on a regular basis for the broker
  • Liaise between the supervising broker and clients
  • Adjust to the needs of the real estate office and execute other assistant duties when necessary
  • Utilize database to safely keep track of customer records
  • Schedule meetings, travel itineraries, and any other relevant appointments for broker

  • Build, implement, and manage all systems for sellers, buyers, lead generation, database management, information management, and back-office support
  • Oversee all contracts through closing
  • Create and maintain an operations manual that documents all systems and standards
  • Responsible for coordinating activities related to listings activation and listing maintenance
  • Sign and lockbox placement
  • Home Value Reports
  • Weekly seller calls
  • Daily client care calls
  • Lead follow up and data entry
  • Responsible for inputting listings in the Multiple Listing Service (MLS) systems
  • Assist listing agent with document management, client communication, and compliance
  • Responsible for communication with sellers and validation of listing details
  • Responsible for Open House coordination and set up
  • Social Media Email Marketing, postcard marketing, and online ads for giveaways
  • Some time out of the office to meet with vendors, clients, service providers, and tasks

Qualifications
  • Prior experience in real estate is a bonus
  • Experience using word processing programs, spreadsheets and Multiple Listing Service
  • High school diploma required
  • Able to effectively communicate to clients and other team members in a timely manner
  • Can work on deadline and handle private client information

  • Strong written and verbal communication skills
  • Marketing skills - social media, print, and web-based
  • Must have experience with smartphones, scanners, devices, databases, excel, and contact management systems
  • Exceptional organizational and project management abilities

Compensation
$26 per hour plus bonus potential
