We're looking to hire a Paralegal Transaction Coordinator to join our team. Think of it as a real estate paralegal position, but more fun. Primary job functions include managing the home sales process from an accepted offer to contract to the moment it closes. We need a highly organized and detail-oriented person to provide a high level of service to our trusted and valued clients as they buy and sell real estate. There are responsibilities related to marketing coordination and supporting the team lead as well. The pace is fast. The work volume is high. Our professionalism is what separates us from ordinary realtors. We need a fast learner with a quick mind who has the ability to multitask. We need someone who will work smart. This is a full-time salaried position. General real estate office experience is a plus.

Responsibilities

  • Oversee all aspects of buyer and seller transactions from accepted offer to closing on 100-150 transactions annually
  • Ensure that all contract dates and deadlines are met
  • Complete under contract and closing checklist for each transaction
  • Maintain client relationship by addressing any concerns and resolving issues as they arise
  • Maintain regular and professional communication with clients, agents, attorneys, lender and title company throughout entire transaction
  • Make arrangements for commission check pickup/delivery
  • Bring all keys and remotes to closing
  • Order signpost removal for each listing sold
  • Schedule and coordinate final walkthrough for all buyer closings
  • Confirm closing time and location, input on calendar
  • Coordinate any necessary repair estimates
  • Coordinate all inspections and appraisals
  • Organize relevant files in all locations
  • Use all of our programs synergistically
  • Become proficient in all Melissa Thompson Team project management systems
  • Prepare and maintain files for each transaction
  • Order home warranty if needed
  • Input client information into database
  • Ensure that internal systems and database are up to date
  • Out-of-office functions include posting “under contract” riders, hosting broker events, accompanying the marketing coordinator on pre-marketing research
  • Consistently meet deadlines and project requirements in a cost-effective manner
  • Support existing Transaction Coordinator with any overflow workload activities

Qualifications
  • 2+ years experience as a personal assistant, office manager, or related position
  • High school diploma required
  • Experience using word processing programs, spreadsheets and Multiple Listing Service
  • Excellent communication skills and organizational skills
  • Prior experience in real estate is a bonus

  • Live within 30 mins of zip code 38120
  • Real Estate transaction coordination experience is a plus
  • Real estate license not (initially) required
  • Excellent attention to detail
  • Believes in prioritizing the customer experience
  • Cool and calm demeanor when resolving issues and communicating with Agents and Clients
  • Experience with email, phone, and customer relationship management tools to communicate with clients and other parties in real estate transactions
  • Proficient in Apple products, Google Apps for Business, and overall use of technology
  • Work well independently and as a member of a eight person team 
  • Have a ‘get it done’ mentality
  • Is very organized and can keep track of several key dates very efficiently
  • Self-driven, a superb multi-tasker who can handle working in a fast-paced environment
  • Works well on a team

Compensation
$35,000 yearly
