Organizational abilities are very important in keeping the office run smoothly. We have an immediate need for a highly motivated, experienced Executive Administrative Assistant to support our real estate sales team at a high level.

The Executive Assistant is deeply committed to supporting the lead agent and team of agents so that the group can achieve greater levels of success. This is an individual who relishes the opportunity to build, implement, and manage multiple systems and is deeply committed to completing tasks the right way with a high degree of quality. This person has immense focus and can do one thing for a long time without getting distracted. This person is interested in growing his/her own skills to being a supportive leader within the team. This individual may exhibit some drive and desire to influence; however, the overriding marker of his/her behavior is persistence and stability.

Behavior Profile: Task-oriented, organized, pays attention to details, systematic, likes structure. Responsible, dependable and trustworthy. Consistent, follows procedures and work well under pressure.

Skills: Communication, organization, good problem solver. Computer skills (word processing, spreadsheets, databases and internet software). Bookkeeping skills are an advantage; ability to work with numbers is important.

Experience: Administrative and/or secretarial assistant to sales or business executives. Significant computer training and/or experience. Real Estate License is an advantage but not required. Experience as an agent's assistant, mortgage processor or legal assistant beneficial.

Responsibilities
  • Put all systems in place for back-office agency support to include customer support, database and information management and lead generation
  • Support sales agents with contract paperwork
  • Oversee and schedule regular maintenance, purchasing and installation of office equipment
  • Keep the lead agent informed regarding any problems or issues that need to be handled
  • Create listing and sales checklists
  • Manage contract to close process
  • Help create marketing collateral and assist in all social media postings and updates
  • Coordinate and take charge of administrative and transaction management - create processes to ensure efficiency
  • Manage, organize and file all listings and sales accordingly
  • Create and maintain an operations manual that documents all systems and standards
  • Be the first point of contact in handling customer inquiries or complaints
  • Compile and distribute weekly/monthly reports to clients (buyers and sellers)
  • Coordinate photos, signage, and marketing materials for all MLS listings
Qualifications
  • 3-5 years of proven experience as executive director or in other managerial position
  • Bachelor degree in Business Management or related field or equal work experience preferred
  • Exceptional organizational and project management abilities
  • Display a people-oriented, positive and customer-focused attitude
  • Technologically proficient and able to learn new programs with ease
  • 1 – 3 years of service and management experience
  • Possess a high school diploma
  • Ability to communicate effectively (oral and written)
  • Possess an attitude that is focused on excellent customer service
  • Independent, self-motivated yet also able to work in a team environment successfully
  • An analytical mind capable for “out-of-the-box” thinking to solve problems
Compensation
$15 - $25 hourly
