The Administrative Director oversees the day-to-day operation of our busy real estate office. This role requires competency and confidence in interactions with a diverse clientele-baby boomers to millennials. This position is responsible for managing calendars, setting appointments, planning events, producing documents, and completing projects with minimal supervision along with a high level of attention to detail. Strong customer service skills, excellent typing skills and strong organizational skills are required. This role requires the ability to extract necessary information.

The ideal candidate has experience in managing a fast paced office environment and can approach this position with strong management and organizational skills, responsibility and commitment. We are looking for a team player with a great attitude who enjoys working with people. Must have prior experience as an office manager and/or executive assistant.

  • Manages financials by anticipating requirements, submitting information for budget preparation, scheduling expenditures, monitoring costs, and analyzing variances
  • Managing administration duties by ensuring the smooth running of all processes
  • Coordinate photos, signage, and marketing materials for all MLS listings
  • Building an effective team by providing guidance and coaching to team members
  • Marketing responsibilities include the creating and updating of marketing on Social Media platforms, MLS listing websites, brochures, videos and website design
  • 1 – 3 years of service and management experience
  • Extremely organized with excellent project management skills
  • 3+ years of management experience required
  • Continue to maintain the good will and reputation of the entire team by managing issues appropriately
  • Must have a valid Real Estate License
  • Tech savvy
  • Strong multitasking abilities
  • Desire to learn and grow both personally and professionally
  • Independent, self-motivated yet also able to work in a team environment successfully
  • High School diploma plus 2+ years experience in administrative management required
  • Bookkeeping skills
  • Ability to communicate effectively (oral and written)
  • An analytical mind capable for “out-of-the-box” thinking to solve problems
  • Display a people-oriented, positive and customer-focused attitude
  • Service-based attitude
  • Must have prior Real Estate, Transaction Coordination, Titles or Mortgages experience
  • Bachelor degree in Business Management or related field or equal work experience preferred
