We’re looking for a motivated real estate executive assistant to assist the principal broker and complete administrative tasks. Responsibilities include liaising between the managing broker and clientele, screening messages and notifying the broker of important information, and overseeing schedules and travel arrangements. You’ll also be responsible for organizing office records and customer data, ordering office equipment, and completing other administrative tasks as needed to support the team. Responsibilities
  • Pay and input invoices on a regular basis for the broker
  • Take notes and deliver messages from phone calls, emails, memos or reports to the broker
  • Support the real estate office as needed with other assistant duties, such as picking up orders
  • Manage the client database to keep information orderly and confidential
  • Implementing filing systems and order office supplies as needed

  • Build, implement, and manage all systems for sellers, buyers, lead generation, database management, information management, and back-office support
  • Responsible for all financial systems, including maintaining the books and generating financial reports
  • Oversee all contracts through closing 
  • Create and maintain an operations manual that documents all systems and standards
  • Responsible for coordinating activities related to listings activation and listing maintenance
  • Sign and lockbox placement 
  • Home Value Reports
  • Bi-weekly client calls
  • Responsible for inputting listings in Multiple Listing Service (MLS) system, specifically NWMLS
  • Assist listing agent with document management, client communication, and broker approval 
  • Responsible for communication with sellers and validation of listing details
  • Responsible for Open House coordination and set up
  • Plan, set up, and attend client events
  • Social Media and Email Marketing


Qualifications
  • 2-3 years experience as an executive assistant or administrative assistant
  • Prior experience in real estate is a bonus
  • Able to effectively communicate to clients and other team members in a timely manner
  • Familiar with Microsoft Word, Excel, and Multiple Listing Service
  • High school diploma or G.E.D. required

  • Real Estate license or experience preferred
  • Working knowledge of the following systems: Microsoft Suite, Market Leader/E-Edge, Tour Factory, LPT, and Zoom
  • Strong written and verbal communication skills
  • Marketing skills - social media, print, and web-based using Photoshop, Publisher, Corefact, and more
  • Exceptional organizational and project management abilities
  • Bookkeeping skills, and highly proficient with excel
  • Great ability to focus

Compensation
$16 - $20 hourly
