We’re searching for a diligent real estate administrative assistant. You’ll be responsible for managing all paperwork in a timely manner, notifying clients of approaching deadlines, ensuring each deal goes through the proper legal channels, scheduling appointments and walkthroughs, and providing superb customer service. In addition, you’ll work with other staff members to market our brand and arrange company events in the community. Applicants should be extremely thorough, possess great interpersonal skills, and have basic knowledge of paperwork processes and database management. If this sounds like you, apply today!
Responsibilities
  • Keep track of all transaction documents in the client database and complete the necessary paperwork
  • Notify transaction participants when a deadline is approaching
  • Take part in employee development programs to strengthen existing skill sets in real estate administration

Transaction Coordination:

  • Follow up with the client to make sure the lender has been engaged
  • Make sure escrow dep has been received with Title co
  • Send all title documents that come into files and to the client
  • Follow up with Lender to make sure on track
  • Follow up with Buyer (Lender)/Seller(Move out) to make sure closing is on time
  • Send a reminder for utilities to be connected on a move-in date -Names of utilities
  • This role can be expanded depending on time and need.

Listing Appointments:

  • Prepare Appointment Package

Listings:

  • Manage Listing Checklist
  • Maintain flyer inventory
  • Reminder for a closing gift to be ordered
  • Enter into CRM

Buyers:

  • Prepare New Buyer Packet
  • mail to new buyers
  • Reminder for closing gifts to be ordered
  • enter into CRM

Marketing:

  • Manage mailings
  • Manage Just Listed/Just Sold postcards

Client Care:

  • Prepare birthday cards, anniversary, home anniversary, referral cards/gifts
  • Address personal notes from CRM
  • Prepare Pop-bys- deliver Pop Bys/record in CRM
  • Assist with Client Parties 1/Qtr.

Social Media/Internet:

  • Some social media type work/ special announcements
  • Maintain profiles on websites/leads sent out


Qualifications
  • Real estate license preferred
  • Communicates well, both verbally and written
  • Background in real estate is required for this position
  • Available evenings and weekends
  • Must have high school diploma or GED
Compensation
$12 - $14 hourly
