We’re looking for a driven and dedicated real estate administrative assistant to join our growing team. Your job will be to complete and file the appropriate paperwork for transactions, oversee important deadlines and notify clients when necessary, adhere to legal and tax withholding requirements, and coordinate schedules for final walkthroughs and other appointments. You’ll also work with the team to manage the production of all marketing materials and facilitate local events to foster connections with people in the community.   • Fulfill client requests for information or other relevant transaction services in a quick and friendly manner
  • Coordinate schedules to ensure optimal open houses and final walkthroughs, travel arrangements, and general appointments
  • Keep track of all transaction documents in the client database and complete the necessary paperwork
  • Help organize community outreach events to improve our standing in the local area
  • Generate status reports for the team on a regular basis to make sure company targets are being properly prioritized

  • Schedule showing appointments (coordinate with agents and owners, input in internal logs and designated portals)
  • Provide support to agents and brokers during the sales process, including preparing documents, scheduling appointments, and sending emails
  • Maintain client database (CRM) and communicate with customers, other agents, and service providers throughout the closing process
  • Administrative duties, include copying, answering the phone, filing, organizing, and sending/receiving emails

This is by no means an exhaustive list of responsibilities but a general overview of the position. 

  • Must have a valid Real Estate License
  • Great written and verbal skills
  • Possesses a basic understanding of Microsoft Word, Excel, PowerPoint, and customer database systems
  • Previous experience in the real estate industry
  • Weekend and evening availability

  • Active CA real estate license is a must
  • 2-5 years in an office/real estate setting and prior experience with administrative work
  • Proficient in Google Suite; Intermediate computer skills
  • Ability to work in a fast-paced environment, while maintaining accuracy and focus despite interruptions
  • Ability to work independently and as a team member; while using discretion in decision making and sound judgment in problem-solving
  • Excellent organizational and time management skills
  • Excellent oral and written communication and interpersonal skills; ability to communicate formally and informally
  • Demonstrated ability to follow instructions and work with limited supervision 
  • Knowledge of CAR, CRMLS, Docusign, and other industry-related platforms is strongly preferred
  • Must have own laptop computer, reliable transportation, and live within 30 minutes of Laguna Beach

$45,000 - $55,000 yearly
