This important position offers varied responsibilities! The Administrative Specialist will assist the Team Leader with all aspects of the business which include: systems development and management, client services, marketing, transaction management, team events, and additional projects and duties as requested. This candidate will be willing to obtain a real estate brokers license and thrive in an administrative role. This culture is varied, sometimes fast-paced. Work is often performed independently, as well as with associates. The successful candidate will enjoy variety, be able to adjust priorities quickly, be flexible, a problem solver and proactive.


Essential Responsibilities

  • Implement and manage all systems for sellers, buyers, lead generation, database management, information management, and back-office support – will be adept at technology
  • Transaction coordination and management for all contracts through closing
  • Oversee management & maintenance of client database
  • Be the first point of contact in handling customer inquiries
  • Keep the lead agent informed regarding any issues that need to be handled
  • Assist Team Leader with hiring, training, consulting, and holding accountable any additional administrative team members
  • Customer/Vendor relations

Assist Owner & Team Leader

  • Manage executive calendars and email inboxes as needed
  • Assist Team Leader with calling vendors, getting quotes, calendar appointments & scheduling, and anything else they may need
  • Customer service calls to prospects and job candidates
  • Fill in when Owner/Team Leader are gone


  • Source, design and order marketing collateral as needed, ie: designing buyer/seller packets, coordinating vendor gifts, coordinating client closing gifts, preparing & sending out football magnets, quarterly newsletters, holidays cards, etc
  • Social media content creation and posting
  • Assist with obtaining client testimonials for websites, social media & other marketing materials


  • Develop & implement various systems throughout the business: tracking, communication, transaction management, etc
  • Oversee maintenance of touch programs to ensure past & present leads are being contacted
  • 36 Touch: Gather content, manage contacts and keep information updated


  • Oversee planning of Team events: strategic planning, team events/parties
  • Report numbers: leads/appts/contracts/pending
  • Oversee scheduling and implementation of client events
  • Be willing to cross-train on all job functions and help out wherever needed

Track & report numbers

  • Assist with developing new systems to streamline business
  • Develop Operations Manual and Checklists
  • Assist TL with job description creation for all company roles


  • Administrative experience required
  • Marketing experience
  • Must demonstrate attention to detail
  • High standards & work ethic
  • Strong communication skills: written & verbal
  • Previous experience in the real estate industry preferred

$33,000 - $39,000 yearly
