The experienced Administrative Director oversees the day-to-day operation of our busy real estate office. This role requires competency and confidence in interactions with all levels of employees both internally and externally. 

This position is responsible for managing calendars, setting appointments, planning events, producing documents, and completing projects with minimal supervision along with a high level of attention to detail. Strong customer service skills, excellent typing skills and strong organizational skills are required along with the ability to use in house database and programs efficiently and bring value to the team's current structure. This role requires a technically savvy person who is creative, can create impressive social media campaigns, edit small brochures, publications, create and edit videos to match the team's mission, vision, and marketing style. This role requires results at the end of each day! Everyday is a plan of action and ownership of those actions are mandatory.

The ideal candidate has experience in managing a large, fast paced office environment and can approach this position with strong management and organizational skills, responsibility and commitment. We are looking for a team player with a great attitude who enjoys working with people. Must have prior experience as an office manager and/or executive assistant at a high level. You will be asked to provide a proven track record of success that is measurable. Must be willing to work on a results proven team that is held accountable at a high level daily.

Responsibilities
  • Managing administration duties by ensuring the smooth running of all processes
  • Be the point person when customer complaints arise and when handling any inquiries
  • Compile and distribute weekly/monthly reports to clients (buyers and sellers)
  • Keep the lead agent informed regarding any problems or issues that need to be handled
  • Provide superior back-office support by managing seller/buyer systems, internal databases and lead generation
  • Complete listing paperwork, create new MLS listings, update pending and closed listings (picture scheduling, signage coordination and ordering, drop off brochures and other marketing materials to listings)

  • Maintain a lean systematic approach to daily processes and problem prevention and resolution

  • Ability to multitask, work in an environment where frequent interruptions may occur
  • Extremely organized with excellent project management skills
  • Basic accounting skills preferred
  • Can handle difficult customers with grace
  • Proven ability to succeed

  • Minimum of 5-10 years experience in executive or managerial position

Compensation
$40,000 - $60,000 to include bonuses (experience determines final)
