Amazing Assistant Needed
You should be an organizer, a positive person, a good communicator - both written and verbal, have excellent computer skills, have a good sense of humor, be a fast learner with a quick mind and be willing to work hard and smart. You'll work at our brand new real estate company in a fast-growing people-oriented business. We seek talent above all else so Real Estate experience is not required.

Our clients don't just need us between 9-5. Sometimes we work late, sometimes we work from home, sometimes we work on Sunday, sometimes we take an extra day off just because we killed it this week. Compensation
Starting at $20 hourly plus bonuses

Responsibilities

Daily Responsibilities

  • Manage Email/Calendar
  • Monitor agent’s email all-day
  • Organize, file and prioritize email 
  • Keep inbox clear for priority messages
  • Respond/file away simple messages
  • To be determined

Communications

  • Work to set appointments for all presentation opportunities
  • Summarize all client/lead calls in daily recap email
  • Log all client/lead calls in Copper
  • Route/transfer/conference all hot leads to agent and other agents as we grow
  • Call Potential Clients to set appointments for agent(s)

Listing Coordination

  • Prepare all listing materials: Listing presentation, Listing Agreement, comparative market analysis, pull online property profile, research old multiple listing service (MLS) listings and etc.
  • Update listing presentation as necessary
  • Consult & coordinate with sellers on all property photos, staging, repairs, cleaning, signage, lockbox, access requirements & marketing activities
  • Works directly with Transaction Coordinator to ensure paperwork and processes are running smoothly
  • Coordinate showings & obtain feedback
  • Provide proactive weekly feedback to sellers regarding all showings and marketing activities
  • Coordinate all public open houses and broker open houses
  • Input all listing information into MLS and marketing websites and update as needed
  • Schedule and coordinate vendors for improvements and inspections
  • Coordinating and ordering closing gifts
  • Friday update emails (weekly updates of marketing, and important information, where we are in escrow, upcoming milestones, etc). 

Assistant With Buyers

  • Ensure that buyer clients are pre-qualified with mortgage lender
  • Identify homes to show that meet buyers’ criteria
  • Refine buyers’ criteria and select additional homes to show as necessary
  • Schedule showings of homes with buyer clients, listing agents and/or home sellers
  • Prepare route for buyers tour and present agent with printed tour, buyers presentations, and MLS printouts
  • Schedule and attend on-site property inspections with clients and vendors
  • Provide buyer clients access to homes under contract as needed for measuring, inspections, etc.
  • Promptly return all buyer client telephone calls, texts and/or emails
  • Keep lead agent informed on all client communications and developments (copied on all emails & update notes in CRM)

Social Media/Advertising

  • Posting new listings and new content 
  • Posting just sold, agent delivering keys 
  • Set up Blogging and manage postings 

Client Database Management

  • Ensure every contact made is entered and bucketed in Copper
  • Set up individual bucketed campaigns
  • Track the status and source of all transactions

Qualifications

Ideal candidate is proficient in:
