We’re searching for a diligent real estate administrative assistant. You’ll be responsible for promptly managing all paperwork, notifying clients of approaching deadlines, ensuring each deal goes through the proper legal channels, scheduling appointments, and walkthroughs, providing superb customer service, creating systems, Social Media Marketing, and must be detailed oriented with creativity.

This position is Full-time. This role will require a candidate with a minimum of 2-years of experience in the Real Estate field.

  • Keep track of all transaction documents in the client database and complete the necessary paperwork
  • Plan travel arrangements, open houses, final walkthroughs, and other necessary engagements
  • Fulfill client requests for information or other relevant transaction services in a quick and friendly manner
  • Assist the real estate team in facilitating local events to foster connection to people in the neighborhood
  • Track important dates and time limits for transactions and notify relevant stakeholders as needed

  • Implementation of systems for Buyers and Sellers
  • Maintain CRM systems and checklists
  • Creating marketing packages and pre-appointment documentation
  • Social media management, postings, website maintenance, and feature sheets
  • Administrative support including but is not limited to: keeping track of all transaction documents, client database, communication with customers, clients, and other agents and service providers throughout the transaction process
  • General administrative functions, assignments, and deliveries as needed
  • Ability to work within various Real Estate related programs on a daily basis
  • Uploading Listings to MLS platforms
  • Responding to emails in a professional and timely manner
  • Time management for the team, holding agents accountable on a high level for tasks and duties

  • Possesses a basic understanding of Microsoft Word, Excel, PowerPoint, and customer database systems
  • Available evenings and weekends
  • Previous experience in the real estate industry
  • Real estate license preferred
  • Must have high school diploma or GED

  • Minimum TWO years Real Estate Experience
  • Must have a valid driver license and own transportation is a must
  • Exceptional communication skills in both written and verbal
  • Self-motivated, goal, task and detail-oriented
  • Superior organization skills and ability to meet tight deadlines
  • Ability to work in a fast-paced environment
  • Computer skills – proficiency in Google suite and social media including Facebook, Instagram LinkedIn
  • Adaptability to new and growing technology – Real Estate Specific
  • Proficiency in spreadsheets
  • Bookkeeping skills
