We’re hiring a motivated real estate administrative assistant to join our growing team. Responsibilities include administrative duties such as keeping track of all transaction documents in the client database for our real estate agents, monitoring and notifying clients of important deadlines, complying with legal procedures, and planning appointments and final walkthroughs. You’ll also support the team by marketing the company on social media and planning company events. The ideal candidate should be a great communicator who is driven and highly detail-oriented.   • Monitor deadlines and provide notices to appropriate parties when necessary
  • Respond to customer needs with urgency and attentiveness
  • Participate in training sessions to improve skills with administrative tasks in the real estate industry
  • Schedule necessary appointments with all parties, including open houses and the final walkthrough
  • Keep track of all transaction documents in the client database and complete the necessary paperwork

These are the standards a well-above-average performer will maintain or exceed: 

  • Follow, implement, improve, and manage all systems for sellers, buyers, lead generation, database management, information management, and back-office support
  • Coordinate the purchase, installation, and maintenance of all office equipment
  • Be the first point of contact in handling client inquiries or complaints
  • Keep the Director of Operations informed regarding any problems or issues that need to be handled
  • Check-in with clients on a weekly basis, keep listing agent up to date with communication
  • Execute Client Touch Program (communicate weekly with Marketing Coordinator on the material to use)
  • Improve Action Plans on CRM systems to make sure they are running at the highest level to serve our clients and agents
  • Print marketing material at the main office (Feature sheets, etc.)
  • Create and monitor a client care referral system

Essential duties and responsibilities: 

  • System implementation, improvement, and management
  • Information management
  • Oversight of contracts through closing
  • Customer/vendor relations


  • Director of Operations – daily
  • Agent Team – weekly
  • Owner – monthly
  • Buyers/Sellers/Vendors – as appropriate, mostly daily

Management Responsibilities: 

  • Work directly with the Director of Operations on any management as seen applicable 

  • Previous experience in the real estate industry
  • Candidates are required to have a high school diploma or GED
  • Excellent written and verbal communication skills
  • Either already has or is working towards real estate license
  • Understands how to utilize a database for processing client information and how to use Microsoft Office to create necessary documents
$45,000 - $55,000 yearly
