We are looking for a high-energy Office Administrative Assistant, who is able to work in a fast-paced environment. The ideal candidate should be a team player, technology savvy, detail-oriented, able to provide superior coordination of the front desk duties, with confidence and professionalism. Possession of excellent computer skills, exceptional attention to detail, and accuracy is a must. Your responsibilities include relaying important messages, scheduling meetings and appointments, and systematizing information in the client databases. You’ll be responsible for managing all paperwork in a timely manner, notifying clients of approaching deadlines, ensuring each deal goes through the proper legal channels, scheduling appointments and walkthroughs, planning for client appreciation events, and providing a 5-star customer experience. In addition, you’ll work towards marketing and branding our social media across all media platforms. and arrange team events in the community. Applicants should be extremely thorough, possess great interpersonal skills, and have basic knowledge of paperwork processes and database management. You’ll need to file paperwork and purchase office equipment and assist with other team members as needed. Applicants should be decisive, thorough, and excellent communicators. Responsibilities
  • Utilize database to safely keep track of customer records
  • Make appointments and travel itineraries for broker
  • Purchase supplies and follow office protocols
  • Convey messages to broker that were received through phone calls, emails, memos, or reports
  • Adjust to the needs of the real estate office and execute other assistant duties when necessary
  • Liaise between the supervising broker and clients

  • Prepare and plan and execute parties, events
  • Manage website, blog sites, and social media
  • Prepare various packages: Listing, Buyers, CMA, FSBO, Expired for drop off
  • Perform active buyer home search and set up showings and/or Manage via Showing Desk
  • Setup MLS search for Seller and Buyers
  • Collecting Reviews before closing
  • Compile and distribute weekly/monthly reports to clients (buyers and sellers)
  • Work with all preferred vendors, including professional photographers, contractors, title companies, etc.

Qualifications
  • Must have a valid Real Estate License
  • Real estate experience preferred but not required
  • 2-3 years experience as an executive assistant or administrative assistant
  • High school diploma required
  • Used to handling private information and meeting hard deadlines
  • Excellent communication skills and organizational skills

  • Must be proficient in MS applications (e.g. Word, Excel, PowerPoint, Outlook)/Internet skills and graphic skills in applications as Canva and Multiple Listing Services
  • Have excellent attention to detail, extremely organized, and high-level accuracy with documents
  • Learning-based and solution-oriented
  • Excellent verbal and written communication skills and time management

Compensation
$20 hourly
