We’re looking for a driven and dedicated real estate administrative assistant to join our growing team. Your job will be to complete and file the appropriate paperwork for transactions, oversee important deadlines and notify clients when necessary, adhere to legal and tax withholding requirements, and coordinate schedules for final walkthroughs and other appointments. You’ll also work with the team to manage the production of all marketing materials and facilitate local events to foster connections with people in the community.   • Compile and distribute weekly/monthly reports and communicate key results to the rest of the team to ensure company goals are being met
  • Fulfill client requests for information or other relevant transaction services in a quick and friendly manner
  • Help organize community outreach events to improve our standing in the local area
  • Keep track of all transaction documents in the client database and complete the necessary paperwork
  • Track important dates and time limits for transactions and notify relevant stakeholders as needed

  • Monday through Friday during office hours with occasional weekend remote work and driving.
  • Working directly in our Customer Relationship Management software.
  • Maintaining all communications and electronic filings in our CRM and Google drive.
  • Greeting clients, answering the telephone, responding to messages and emails, and making follow-up calls and emails.
  • Preparing correspondence, scheduling meetings, and managing google calendars.
  • Preparing real estate forms and documents.
  • Coordinating showings and obtaining and managing feedback.
  • Ordering, preparing, and distributing marketing materials.
  • Brief daily social media updates.
  • Preparing listing materials and posting property listings.
  • Assisting with new listing preparation tasks.
  • Assisting with closing related tasks and processes.
  • Driving to listed properties for various tasks.
  • Performing other duties as assigned.

  • Communicates well, both verbally and written
  • Previous experience in the real estate industry
  • High school diploma or equivalent required
  • License for real estate is preferred but not required
  • Possesses a basic understanding of Microsoft Word, Excel, PowerPoint, and customer database systems

  • Some Real Estate experience
  • High school diploma/GED.
  • Degree education preferred.
  • Previous experience in the real estate industry is beneficial.
  • Excellent grammar and communication skills, both verbal and written.
  • Proficiency in Microsoft Office/Google Docs and Sheets.
  • Photoshop, Illustrator, and Canva experience.
  • Able to work independently and as part of a team.
  • Able to take direction and listen to constructive criticism.
  • Strong organizational skills.
  • Critical thinking and problem-solving skills.
  • Strong attention to detail.

$20 - $25 hourly
