Our busy real estate team requires an unlicensed or licensed assistant. The right candidate will be extremely organized, possess good people skills and be a hard worker.

The Administrative Assistant handles all listing and closing contracts for a growing real estate team. We are looking for someone who is dependable with a high level of attention to detail and a positive attitude who can maintain stellar relationships with clients, team members, cooperating agents, and vendors with the ability to communicate effectively in a professional manner. This person will exhibit strong organizational and time management skills and pay exceptional attention to detail with the ability to work in a fast-paced environment at a high level.


Listing Coordinator

  • Oversee all aspects of listing transactions from initial contact to executed purchase agreement
  • Prepare all listing materials prior to the listing appointment: Listing Agreement, sellers’ disclosures and all coordinating paperwork
  • Obtain all necessary signatures on listing agreement, disclosures and other necessary documentation
  • Consult & coordinate with sellers all property photos, staging, pre-listing repairs, cleaning, signage, lockbox, and access requirements
  • Coordinate showings and obtain showing feedback
  • Professionally communicate with clients regarding the progress and status of their home's listing and provide proactive weekly feedback to sellers regarding all showings and marketing activities on their home
  • Coordinate all public open houses
  • Input all listing information into Multiple Listing System, Keller Williams Listing System, team website listing system, team database, additional third-party websites, and update as needed
  • Submit all necessary documentation to office broker for file compliance
  • Input all necessary information into client database and transaction management systems

 Transaction Coordinator

  • Oversee all aspects of buyer and seller transactions from executed purchase agreement to closing
  • Ensure all parties meet all contract deadlines with a sense of urgency
  • Coordinate title, mortgage loan and appraisal processes
  • Coordinate all inspections, assist in obtaining quotes regarding repairs, and coordinate completion of repairs
  • Regularly update and maintain frequent communication with clients, agents, title officer, lender, and all additional parties
  • Submit all necessary documentation to office broker for file compliance
  • Coordinate moving/possession schedules
  • Schedule & coordinate closing process
  • Input all client information into client database system
  • Schedule 30 Day, 90 Day & 120 Day client customer service follow-up calls to assist with any home improvement provider recommendations and to ask for referrals



  • High School diploma or higher
  • Minimum 1-year administrative experience. Previous experience in transaction management, transaction coordination, and/or real estate is highly valued
  • Strong written and oral communication skills
  • Exceptional attention to detail is required
  • Growth-minded individual with an eagerness to learn and contribute to team’s culture and success at a high level
  • Proven record of proficiency in a relevant administrative role
  • Ability to create and maintain stellar client relationships based on trust, honesty, and integrity
  • Solutions-oriented self-starter with the ability to work in a fast-paced environment
  • Approach job duties with a sense of ownership, confidentiality, commitment, honesty, loyalty and integrity
  • Ability to learn and proficiently use at a high level systems such as database and transaction management system/CRM, Keller Williams Command, office compliance systems, and third-party listing systems
