The Production Coordinator (PC) is responsible for the comprehensive administration of our mitigation, contents and construction jobs. This includes but is not limited to assisting the Project Manager with job flow, project updates, and project documentation. The PC handles First Notice of Loss (FNOL), Job entry, Pre-Wip (from FNOL to adjuster approval), PSA job management, Estimate transfers, Third Party Administrative updates, Adjuster and Homeowner communication, and job scheduling.

Essential Functions:

  • Conduct yourself and comply with the company Handbook and follow Job Management Policies and Procedures
  • Responsible for the initial intake of jobs (from various sources of job creation), creating the job in PSA, communicating expectations with the customer, and establishing the date and time of the inspection (utilizing shared G-Mail calendars)
  • Handles incoming assignment calls and outgoing customer coordination and adjuster update phone calls
  • Assist team members in the overall administration requirements of our production of jobs, including; creating, administrating, billing, and electronic filing of mitigation or structure jobs
  • Handles the majority of the incoming and outgoing phone calls for the assigned department
  • Assists Project Managers with production-related tasks, including but not limited to; scheduling technicians and subcontractors, PO’s and WO’s, cost analysis, and closeout of jobs
  • Assists with various tasks including but not limited to; TPA related tasks, estimating, scheduling, and other various office tasks
  • Proficient in Xactimate to assist with billing and scope
  • Assist in the research, contacting customers, and dispatching crews to support our FIRE initiatives
  • Assist Project Managers with invoicing and process through payment
  • Assists team leaders with special projects, facility organization, and customer service tasks
  • Maintain the highest standards of internal and external customer care
  • Proactive in building strong relationships with business partners
  • Assists all departments with receivables 


Minimum Requirements:

  • Work Experience: 3+ years administrative, industry, or office experience


  • Knowledge of restoration processes and procedures is required
  • Vast knowledge and proven expertise on TPA software, requirements, adherence, and overall compliance are required
  • Excellent written and verbal communication skills
  • Ability to multi-task, work under pressure and meet deadlines
  • Ability to prioritize. manage multiple projects. and work under deadlines
  • Strong sense of urgency
  • Very strong organizational and time management skills
  • Hard-working TEAM player who can easily adapt to changing needs
  • Understanding of PSA, Xactimate, Gmail
  • Strong desire to learn and excel
  • Professional demeanor and appearance are required
