Manage all locations and daily operations of Positive Change Counseling Center

Practice Owner’s Vision: I want someone who has read all of the business management and enterprising books and can actually implement the great ideas in those books!

This person will implement the correct/best systems to make our practice run efficiently so that we can provide the best client care possible and our staff has a healthy work/life balance.

Accountability – my goal is to have more time with my family and to create practice growth. I want the same for the PM – a healthy work/life balance and producing growth while maintaining practice quality.

Responsibilities

Leadership & Management

  • Participate in monthly, quarterly, and annual leadership meetings (perhaps even leading them!) 
  • Supervise administrative staff, including annual reviews, performance counseling


Contracting

  • Complete new hire CAQH and credentialing applications
  • Maintain credentialing status for all clinicians
  • Negotiate fee increases on an annual basis. The goal is 2 contract negotiations per year. Bonus for additional increases beyond expectation.
  • Terminate contracts when clinician leaves PCCC


Operations

  • Enforce current business policies/procedures 
  • Identify weaknesses and create improvements in business systems
  • Coordinate with Client Care Coordinator and update data analysis spreadsheets to ensure we are meeting new client conversion targets while creating excellent customer service experiences 
  • Collecting and monitoring all vital statistics for practice while simultaneously submitting action plans to achieve goals
  • Address any and all patient or referring office complaints or suggestions
  • Learn TA 2.0 inside and out
  • Go through our current systems with a fine-tooth comb. Where are we efficient? Where are we not?
  • Implement systems to increase efficiency and maintain high-level customer service
  • Manage therapy office schedule
  • Approve PTO/sick time requests for Lead Clinicians and all Admin staff
  • Hire and fire administrative staff
  • Manage employee benefits between Broker and Gusto
  • Collecting and monitoring all vital statistics for practice while simultaneously submitting action plans to achieve goals


Facilities Management

  • Point of contact for any office issues (need equipment, something is broken)
  • Liaison to Property Managers(s)
  • Maintain an adequate level of supplies in each office to keep admin staff and therapists running smoothly
  • Create/maintain an inviting and comfortable space for clients


When this position is executed correctly the following should occur:

  • The owner has an individual who is an unwavering advocate for her interests and the interests of the practice
  • There is a buffer shielding Owner from unnecessary and mentally taxing duties and confrontations
  • All ongoing problems, whether clinical or administrative in nature, are handled with an efficient plan to resolve with a due date and responsible party when appropriate
  • The owner has an accountable party she can trust to ensure accurate execution of their wishes and directions
  • The owner has an overall sense of well-being and trust that the practice is meeting its mission
  • Staff feels they have an advocate who is fair, just, and impartial that sets the example in work ethic and passion for excellence who they trust to fix and not just to listen
  • The practice continues growing sustainably and intentionally

Qualifications

  • Emotionally mature, grounded, and responsive 
  • Passion for supporting relationships and general mental health 
  • Strong background in HR and operations management 
  • Organized, tech-savvy, analytical thinker
  • Outgoing, charismatic, people person 
  • Warm, compassionate, and capable of having hard conversations (enforcing boundaries while maintaining empathy) 
  • 3+ years in a leadership role and/or degree in management

Compensation
$60,000 + DOE
