The core responsibility of this role is document and information management. In charge of ensuring all documentation has been filed properly using firm procedures and software. Ensure all deadlines are met. Oversee client relations and ensure a positive experience throughout the full-service process.

Responsibilities

  • Oversee client relations. Ensure all client outreach/calls are returned within 48 business hours
  • Work with clients and attorneys to complete estate administration, estate planning, and other firm cases
  • Oversee all departments and staff for updating procedures, team member training, and compliance with firm procedures
  • Maintain confidentiality of all client and personnel matters pursuant to the firm’s confidentiality policy
  • Direct file management for all appointments to ensure that files are accurately prepared for appointments
  • Ensure accuracy of plans and documents by reviewing files
  • Assist with caseload management and analyses for the owner as needed
  • Maintain standard operation procedures by updating and creating manuals, checklists, policies, and training programs
  • Ability to research and update guardianships as needed
  • Assist with billing for departments to maintain regular and accurate billing
  • Stay up to date with changes to applicable laws and regulations
  • Run daily log reports and weekly productivity reports
  • Track all record changes

Non-essential Job Functions (performed on an infrequent basis):

  • Occasionally travel to different offices to ensure proficiency and utilization of all firm processes and procedures
  • Assume leadership of certain executive functions in absence of owner/partners

Qualifications

  • Bachelor’s degree in business administration, management, legal studies or paralegal certificate, licensed attorney or related field
  • At least 3 years of related experience in the legal services field. Knowledge of federal and state employment laws
  • Proficiency in MS Office. Self-directed and possess strong organizational and time management skills as well as analytical problem-solving skills

Compensation
$50,000 - $55,000
