We are a dedicated, diverse, and growing group of mental health counselors with offices in Oak Park and the Loop looking now for an accomplished healthcare administrator to take over the management of our day-to-day operations. As Practice Manager, you will supervise the administrative assistant(s), provide primary operational support and training for the clinical staff, and play a lead role in implementing the organization's development plans.

Compensation: $50,000 - $90,000+ yearly, FTE, with full benefits package and room for advancement

Founded in 2010, Integrative Psychotherapy Associates, LLC, has established itself as a preeminent provider of mental health services in the tri-village and surrounding area. Our integrative approach is rooted in a holistic model of human well-being that incorporates all facets of the person including mind, body, spirit, and culture. Our therapists work in a supportive and collegial private practice milieu to provide full continuity of care across the lifespan, offering services for children, adolescents, and adults in individual, couple, and family formats.

Responsibilities

In this position, you will:

HR

  • Manage recruitment, training, and onboarding of new hires to meet practice growth targets and staffing needs
  • Utilize staff performance reports to manage tiered compensation & employee benefits model
  • Oversee staff compliance and employee relations to balance accountability with high staff morale

Systems & Operations

  • Amend & improve policies & procedures, training materials, operations manuals, and employee handbooks as needed to maintain an up-to-date resource of key practice documents & guidelines
  • Oversee outsourced vendors including tech support, communications, website management, financial, marketing, billing, and other services to manage accounts, optimize utilization, and review value relative to alternatives
  • Coordinate with building services, contractors, and other resources as needed to manage office upkeep & repairs, including furnishings and decorations
  • Serve as primary staff resource for information, assistance & training on practice systems, services, tech, communications, and equipment to address staff needs and optimize practice utilization of available functionality

Compliance

  • Work with HR service and practice attorneys to ensure practice compliance with all legal and regulatory requirements 

Finances

  • Work with bookkeeper, accountant, and administrative assistant to oversee the timely execution of financial operations, including payroll, taxes, bookkeeping, A/P, and month-end reconciliations

Reporting

  • Produce monthly dashboard report of practice KPIs to advise the executive director on practice trends and progress toward performance targets

Billing

  • Supervise medical billing operations to ensure timely completion of VOBs, claim submission, insurance reimbursement, and proper posting of payments

Qualifications

Desired qualifications include:

  • HS diploma with at least five years of progressive experience in health care practice management (or Bachelor’s degree with at least two years of progressive experience);
  • At least one year in a senior management or leadership role running a clinic, agency or department;
  • Demonstrated success in all (or most) areas listed under Job Responsibility above, including HR, Systems & Operations, Compliance, Finances, Data Management & Reporting, and Billing;
  • Experience managing successful recruitment campaigns, including online recruiting platforms, conducting interviews, and representing the practice to applicants
  • Strong verbal, written, and interpersonal communication skills that foster a supportive practice culture of warmth, respect, professionalism, and collegiality.
  • Ability to work independently as well as collaboratively with others;
  • Experience supervising and managing other staff;
  • Ability to prioritize projects, streamline workflow, manage the occasional crisis, and not lose sight of the big picture;
  • Strong organization, problem-solving, and critical thinking skills;
  • Proficiency in Microsoft Office Suite, Quickbooks, Gusto (or similar payroll system), TherapyNotes (or similar EHR platform), and RingCentral (or similar VOIP system)
